Job Summary:
The Administrative Assistant to the Center for Academic Advising and Student Success ( CAASS ) serves as the Office Manager and provides advanced and diversified administrative support primarily to the Campus Director of CAASS (Florham or Metro) and secondarily to the academic advisors and other staff housed within the Center. Primary Center responsibilities include, serving as initial point of contact for students, parents, faculty, and administrators; providing administrative support for CAASS staff, programs and initiatives; communicating office policies, procedures and practices to students, University personnel and the community-at-large; researching information; overseeing and/or participating in the coordination and maintenance of all office files, including confidential student records; completing purchase requisitions and maintaining associated budget records; and serving as the Advisement Center’s liaison to academic departments for matters and issues related to the operation of the Advisement Center.
The incumbent will also work closely with the Director and academic advisors on creating and maintaining the curriculum checksheets used by all Departments on the Florham or Metro campus.
The incumbent is expected to interface with students, parents, and the University community in a highly professional manner, using independent judgment and discretion. This position is required to maintain confidentiality of proprietary and private information and a customer-service focus while carrying out job responsibilities and will conduct business in a manner that will uphold the integrity and reputation of Fairleigh Dickinson University. This position maintains a thorough working knowledge of and adheres to the policies, regulations, and procedures of the University.
Required Qualifications:

High School degree required.

Completion of courses and/or training related to secretarial, general office, administrative and computer skills or demonstrated equivalency through work experience, preferably in an academic environment preferred.

A minimum of two years of administrative experience, preferably in a complex academic environment, including office oversight responsibilities, experience with budget maintenance, and demonstrating strong organizational effectiveness.

Excellent human relations and oral and written communication skills with sensitivity to student needs.

Ability to handle a high volume of phone calls and personal contacts with students, faculty and staff in a professional manner and communicate clearly and concisely.

Computer proficiency for word processing, spreadsheets, data management, and e-mail. Knowledge of Microsoft Office (Word, Excel, PowerPoint), database software, and web navigation. Knowledge of Datatel and Canvas not required, but a plus.

Employment is contingent upon a satisfactory background check. Candidates for hire will be required to sign a waiver authorizing the background check and produce a Social Security Card.
