The Role: Hospitality Coordinator (Contract)

The Hospitality Coordinator supports the coordination and execution of meetings, tours, and events across all Switch campuses, providing administrative, scheduling, and logistical support to ensure each engagement is organized and executed seamlessly. This role assists with coordinating engagements from initial request through completion, helping manage schedules, stakeholder communications, documentation, logistics, and follow-up activities.

Working closely with the Hospitality Manager, C-level executives, executive assistants, investors, clients, Security, Production, Catering, Audio/Visual (AV), Data Center Operations, and other internal teams, the Hospitality Coordinator helps ensure all engagement requirements are addressed, timelines are maintained, and operational and security procedures are followed.

This is a contract position anticipated to last up to six months. This position reports to the Director of Hospitality and is based in Las Vegas. Work arrangements may vary between on-site, hybrid, and remote work based on scheduled tours, meetings, and events. You must be available to work on-site in Las Vegas up to five days per week when business needs require.

What You’ll Do

Meeting, Tour & Event Coordination

  • Support the coordination of meetings, tours, and events across all Switch campuses, assisting with logistics from initial request through completion.
  • Assist with scheduling, calendar invitations, attendee details, confirmations, and follow-up communications.
  • Maintain engagement schedules, task trackers, and logistical details, ensuring information is accurate and communicated to relevant stakeholders.
  • Track required forms, approvals, tasks, and deliverables to help ensure all requirements are completed before each engagement.
  • Assist with coordinating meeting spaces, visitor itineraries, catering, presentations, and other event requirements.
  • Respond to schedule changes and last-minute requests, escalating conflicts or issues to the Hospitality Manager as needed.

Executive & Cross-Functional Support

  • Provide administrative and logistical support to the Director of Hospitality in coordinating engagements for C-level executives, executive assistants, investors, clients, and other visitors.
  • Communicate with internal stakeholders to confirm schedules, attendee information, meeting requirements, and logistical arrangements.
  • Partner with Security, Production, Catering, AV, Data Center Operations, and other teams to coordinate visitor access, room readiness, technical needs, and event support.
  • Help ensure meeting spaces and tour preparations are completed in accordance with established requirements and timelines.
  • Deliver professional, responsive hospitality support to executives, visitors, and clients across all Switch campuses.

Security & Administrative Support

  • Coordinate with Security to collect and track visitor documentation, access agreements, approvals, and entry requirements before arrival.
  • Maintain accurate records, schedules, task trackers, and follow-up items related to meetings, tours, and events.
  • Assist with administrative activities, including travel and vehicle reservations, expense reporting, document preparation, and other coordination tasks as needed.
  • Handle executive schedules, visitor information, and sensitive business details with discretion and confidentiality.
  • Identify potential scheduling or logistical issues and communicate them promptly to the Director of Hospitality.
  • Maintain an organized and thorough Hospitality supply inventory system and handle replenishment of needed items.
  • Support continuous improvement of coordination processes, documentation, and administrative workflows.

What We’re Looking For

You are an organized, detail-oriented, and proactive professional who enjoys supporting a fast-paced hospitality and coordination environment. You can manage multiple administrative tasks, maintain accurate records, and follow through on deadlines while providing professional service to executives, visitors, clients, and internal teams.

You communicate effectively, anticipate logistical needs, and adapt quickly when schedules or priorities change. You are comfortable collaborating across departments, following established processes, and escalating issues when needed. You exercise sound judgment and discretion when handling confidential information and understand the importance of accuracy, responsiveness, and attention to detail in a highly secure environment.

What You’ll Bring

Required Qualifications

  • Experience in administrative support, hospitality, meeting and event coordination, customer service, or a related field.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and competing deadlines.
  • Experience supporting scheduling, calendar management, meeting logistics, documentation, or administrative coordination.
  • Strong written and verbal communication skills, with the ability to interact professionally with executives, executive assistants, clients, visitors, vendors, and internal teams.
  • Ability to coordinate and follow up on requirements involving multiple departments, including Security, Production, Catering, AV, and operational teams.
  • Demonstrated accountability, responsiveness, and follow-through in completing assigned tasks and meeting deadlines.
  • Sound judgment and discretion when handling confidential information and sensitive business details.
  • Proficiency in Microsoft Office applications, including Outlook, Excel, PowerPoint, Teams, and Word.
  • Ability to work on-site in Las Vegas up to five days per week based on business needs, with responsibilities supporting engagements across all Switch campuses.

Preferred Qualifications

  • 1–3 years of experience in administrative support, hospitality, event coordination, or a related field.
  • Experience supporting executive assistants, senior leaders, clients, visitors, or other high-profile stakeholders.
  • Experience coordinating meetings, tours, or events across multiple offices, campuses, or facilities.
  • Familiarity with calendar management, project tracking platforms, and task management tools.
  • Experience with visitor registration, corporate security procedures, access documentation, or facility entry requirements.
  • Experience working in a corporate, hospitality, technology, or other operationally complex environment.
  • Associate’s or bachelor’s degree in hospitality management, communications, business administration, or a related field.
