Full job description

Finance leaders shape the decisions that sustain exceptional patient care, responsible growth, and operational excellence. UVA Health is seeking an accomplished Senior Executive Assistant to provide high-level support to the Chief Financial Officer and multiple executive leaders across the Finance division , including the Chief of Financial Operations, Chief Supply Chain Officer, and other senior leaders.

This highly visible position serves as a trusted administrative partner within a complex, fast-moving health system. The ideal candidate anticipates needs, protects executive time, maintains awareness of upcoming priorities, and ensures leaders are thoroughly prepared for meetings, decisions, and commitments.

The Role

The Senior Executive Assistant provides sophisticated administrative and operational support to executive leaders whose work spans financial strategy, supply chain, operational performance, and organizational planning. This role requires exceptional judgment, discretion, initiative, and the ability to coordinate competing priorities with limited oversight .

The successful candidate will provide the attentiveness and forward planning associated with high-touch executive support while maintaining clear professional boundaries. The position supports business and organizational responsibilities and does not include personal errands or management of an executive’s private household matters.

An average day may include:

  • Managing complex executive calendars across multiple leaders, resolving scheduling conflicts, protecting time for strategic priorities, and anticipating the preparation or follow-up required for each commitment.

  • Maintaining a forward-looking view of deadlines, governance activities, leadership meetings, travel, presentations, and other significant priorities.

  • Proactively providing reminders and confirming that executives have the materials, context, and logistical details needed for upcoming meetings.

  • Coordinating meetings involving executive leaders, board members, physicians, operational partners, University stakeholders, and external contacts.

  • Preparing agendas, correspondence, presentations, reports, briefing materials, and other documents of varying complexity.

  • Managing the flow of sensitive information through email, telephone communications, correspondence, and established filing systems.

  • Tracking decisions, action items, and deliverables to help ensure commitments move forward and stakeholders receive timely follow-up.

  • Coordinating travel arrangements, itineraries, appointments, and meeting logistics.

  • Exercising sound judgment when handling confidential financial, personnel, strategic, and organizational information.

  • Supporting office operations, purchasing, budget administration, and the development or refinement of departmental procedures.

  • Building productive relationships across Finance and UVA Health to facilitate communication and coordinated execution.

This is an excellent opportunity for an experienced executive support professional who recognizes patterns, thinks several steps ahead, and remains composed when priorities change. Success requires more than excellent scheduling skills. It requires executive presence, organizational awareness, and the confidence to respectfully identify conflicts, surface risks, and keep priorities on track.

Candidates should bring a bachelor’s degree or an equivalent combination of education and related experience, along with at least five years of relevant experience . Experience supporting a C-suite executive, senior executive leader, board, or governing body is strongly preferred. Experience in healthcare, higher education, finance, supply chain, or another complex, highly regulated environment is valuable.

Why UVA Health
