Job Description:

Position Summary

The Assistant to the Vice President of Communications & Marketing is a critical member of a highly productive team that is responsible for shaping and enhancing the College’s public image through effective communication strategies, marketing and media outreach. Reporting to the Vice President of Communications and Marketing, the Assistant provides a broad range of administrative support to the Vice President and other members of the Communications and Marketing team. The Assistant serves as the first point of contact for the office, staffing the front desk of Rudd Center, greeting visitors, and answering the main office phone while providing direct administrative support to the vice president. Core duties include calendar and travel coordination, budget administration, event support, database management, and serving as the Rudd Center daily operations coordinator.

Responsibilities

  • Supports the vice president: manages calendar and travel arrangements, prepares confidential briefing materials, and drafts reports, correspondence, and presentations.

  • Supports division budget administration: monthly reporting, expense tracking, purchase orders, reimbursements, and reconciliation of Campus/Corporate Card expenses.

  • Assists Media Relations: distributes news releases, maintains media databases and event calendars, tracks inquiries/placements, and writes/posts news content.

  • Supports Content Strategy and Digital Communications teams with research, outreach, writing, and website needs.

  • Coordinates meetings and events: schedules department meetings, reserves conference rooms, manages the Communications and Marketing calendar, and handles food/event logistics.

  • Manages office logistics and facilities: mail, supplies, equipment/vendor liaison, building key management, and Facilities/IT work orders; serves as building coordinator and attends College safety meetings.

  • Manages administrative systems: department Listserv, correspondence, files, databases, and shared office equipment.

  • Assists with staff onboarding, general research/correspondence, and covers phones as needed.

  • Performs other duties as assigned.

Education & Experience

  • Associates degree or higher plus five or more years of experience in an administrative support position.

  • Experience (typically 3-5+ years) providing administrative support to C-suite executives, senior management, or multiple department heads preferred.

  • Higher ed, communications, marketing or media relations related experience a plus.

  • A deep understanding of the liberal arts is a plus.

  • An equivalent combination of education and experience will be considered.

Knowledge, Skills and Abilities:

  • Exceptional judgment, discretion, and ability to handle highly confidential information.

  • Superior organization and time-management skills; able to juggle competing priorities and deadlines.

  • Excellent written and verbal communication skills.

  • Strong problem-solving skills; able to anticipate needs and resolve conflicts independently.

  • Ability to work collaboratively and build professional relationships with colleagues and constituents to meet shared goals and objectives.

  • Ability to problem solve and recommend solutions in a collaborative manner.

  • Excellent organizational skills, attention to detail, and ability to work both independently and collaboratively.

  • Ability to remain calm, professional, and solution-oriented in a fast-paced environment with frequent interruptions.

  • Proficiency in Microsoft Office (Word, PowerPoint, Excel), Google Workspace, Zoom. Experience with Workday is preferred.

Compensation Range:

$22.00 - $24.00 per hour
