Description

Job Purpose:

This position assists the facilities department with general administrative duties, consumable ordering, inventory management and coordinating vehicle maintenance, expenditures, and repairs for on all company vehicles. Employee will act as a lead in the absence of the facilities management.

Essential Job Functions:

  1. Assume a back-up operational lead when Facilities Manager is unavailable.

  2. Operate and maintain Facilities Helpdesk management database system, process, and monitor work orders for repair, preventive maintenance, custodial service

  3. Work closely with Facilities Manager in assigning and closing out maintenance work request tickets.

  4. Audit monthly fuel receipts for credit card misuse and/or fraud. Report any suspicious activity to appropriate program manager.

  5. Facilitate consumable purchase orders, including in-house delivery

  6. Maintain basic vehicle upkeep on all company vehicles, including monthly inspection records.

  7. Coordinate conference room and lobby set-up requests, office relocations and moving of supplies

  8. Perform manual repairs as needed.

  9. Conduct general upkeep procedures for landscaping and parking lot.

  10. Will collaborate and assist with all levels of personnel within the program to achieve common goals as directed by manager.

  11. Communicate any issues related to daily assignments to manager on duty.

  12. Attend departmental and agency-wide safety briefings and training sessions as required

  13. Participate in department quality planning activities, continuous improvement, logic models, performance metrics.

  14. Maintain valid Wisconsin driver’s license Valid Wisconsin driver’s license, without limitations that are incompatible with duties & responsibilities and a motor vehicle record acceptable to program and/ or contractual requirements

  15. Maintain vehicle liability insurance in accordance with agency policy if driving own vehicle

Qualifications

Required Education, Experience, Certifications, Licensure and Credentials : (Where appropriate, education and/or experience may be substituted)

Minimum Required Education: High School Diploma or GED required. Bachelor’s degree preferred

Minimum Required Experience: 5 years’ experience in facilities and fleet maintenance

Required License – Certification – Registration:

Issued By Governing Body (if applicable):

Travel outside of office: 20 % travel in the communities we serve

Required Valid Driver’s License: Valid Wisconsin driver’s license, without limitations that are incompatible with duties & responsibilities and a motor vehicle record acceptable to program and/ or contractual requirements

Required Auto Insurance: vehicle liability insurance in accordance with Agency policy

Knowledge – Skills – Abilities:

  1. Knowledge to use work related equipment and applications such as cell phone and texting, computers, photo copier, Microsoft Office, and Teams. Ability to respond to emergency situations in accordance with training received.

  2. Ability to communicate concerns to designated staff.

  3. Present a positive public image of CFI, and maintain confidentiality

Physical Requirements, Visual Acuity, and Work Conditions:

Physical Requirements: Reaching, Extending hand(s) and arm(s) in any direction. Standing for sustained periods of time. Walking, moving about on foot to accomplish tasks, pushing, pulling and using stairs. Lifting, raising objects from a lower to a higher position or moving objects horizontally from position to-position. Fingering, picking, pinching, grasping items, typing, or otherwise working.

Exerting up to 70 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, in a variety of situations, including using stairs and ramps or during inclement weather and team-lift 100 pounds.

Talking, expressing, or exchanging ideas by means of the spoken word. Hearing, perceiving the nature of sounds at normal speaking levels with or without correction

Visual Acuity: The worker is required to have visual acuity to determine the accuracy, neatness, and thoroughness of the work assigned, operate motor vehicles or power equipment, with or without adaptive equipment

Working Conditions: The worker is subject to both indoor and outdoor environmental conditions and, loud noises.
