AP/AR Accounting Clerk

Description We are looking for an AP/AR Accounting Clerk to join a finance team supporting a high-profile hospitality operation in San Antonio, Texas. This contract-to-permanent position is well suited for an accounting specialist who can balance payables and receivables responsibilities while maintaining accuracy in a fast-moving environment. The role will contribute to daily financial processing, support month-end activities, and provide responsive service to vendors, clients, and internal departments.

Responsibilities:

• Review, code, and enter vendor invoices accurately while maintaining timely processing of accounts payable transactions.

• Verify invoices against purchase orders and receiving records, then prepare payment documentation and assist with scheduled disbursements.

• Track vendor balances, investigate discrepancies, and maintain complete supporting files for audit-ready documentation.

• Create customer invoices and billing statements, coordinating with operational teams to ensure charges are correct and complete.

• Apply incoming payments from multiple sources, update account records, and resolve issues related to short payments, chargebacks, or billing variances.

• Monitor aged receivables, follow up on outstanding balances, and document collection activity to support consistent cash flow.

• Record advance deposits, reconcile customer and gift certificate activity, and keep account details current within financial and property systems.

• Support month-end and year-end close tasks by preparing reconciliations, reviewing prepaid and balance sheet accounts, and posting necessary journal entries.

• Respond to guest, client, and vendor billing questions while upholding accounting policies and delivering attentive service.

• Contribute to special projects and additional accounting assignments as business needs evolve. Requirements • At least 3 years of experience in accounts payable, accounts receivable, or broader accounting support roles.

• Practical knowledge of invoice processing, cash applications, journal entries, debit and credit transactions, and bank reconciliations.

• Proficiency with Microsoft Excel and experience using accounting platforms such as QuickBooks, PeopleSoft ERP, PeopleSoft Financials, or similar systems.

• Ability to perform high-volume data entry with strong accuracy, organization, and attention to detail.

• Familiarity with month-end close activities and maintaining reliable financial records in a deadline-driven setting.

• Background in hospitality, hotel, resort, or other service-based industries is preferred.

• Strong communication skills with the ability to work effectively with vendors, customers, and cross-functional internal teams.

• Experience with BirchStreet Systems or property management-related financial systems is a plus.
