Position Summary

OC HR Assistant will report to Sr. HR Generalist for Orange County Coordination. HR Assistant will be responsible for assisting the Sr. HR Generalist administratively for Orange County Coordination programs and corps.

Essential Functions

Specific Functions:

  • Provide administrative support to OC Human Resources:

  • Submit HR documents and correspondence to DHQ HR department, this includes but not limited to:

  • New & post hire documents, benefit packets, performance evaluations, termination documents, and other requested/necessary forms

  • Assist with talent recruitment, application tracking and dispositions (i.e. job postings, schedule interviews, communication with applicants, job fairs)

  • Review and confirm payroll and timesheets for the county, include distributing paychecks bi-weekly.

  • Assist reporting incidents to insurance (i.e. worker’s comp, general liability)

  • Assist in the preparation and completion of special projects, including but not limited to:

  • New Hire Orientation: prepare material, send communication as needed, and organize lunch

  • Christmas kettle applications (recruiting, input data, process applications, etc.)

  • Advisory Board Report content

  • Maintain upkeep of confidential files for all Orange County employees

  • Assist in collecting data and establish metrics to track HR trends in Orange County

  • Perform other assignments/duties as directed.

Working Conditions

Ability to walk, stand, bend, squat, climb, kneel and twist on an intermittent or sometimes continuous basis. Ability to grasp, push, pull objects such as files, file cabinet drawers, and reach overhead. Ability to operate computer, fax, and telephone. Ability to lift up to 40 lbs. This position is an in-office position; hybrid option only if necessary.

Minimum Qualifications

  • High School Diploma or G.E.D. required

  • Bachelor’s degree preferred

  • Minimum 2 years’ experience in administrative assistance positions and functions required

  • Minimum 1 HR experience in an office environment preferred

  • Computer literate; basic skills in Microsoft Office and Outlook email.

  • Valid California driver’s license

Skills, Knowledge & Abilities

  • Driving Test and pass MVR check (Required)

  • A criminal background check is required with certification for Protect the Mission policies and procedures

  • Must have ability to work with, direct, and relate well with co-workers, community members, and guests/clients

  • Able to thrive in a fast-paced, frequently changing environment

  • Must possess good relationship skills

  • Attention to detail, quality and professionalism

  • Must possess and display high level of confidentiality

  • Effective time management skills; able to work independently

Scheduled Days: Monday- Friday (25-30 hours)
