General Requirements:

Bachelor’s degree. Four years relevant administrative assistant experience. Experience in Higher Education is desirable. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.

Nature & Purpose of Position/Usual Duties:

Performs advanced and complex administrative support duties for the department of Innovation within Strategic Enrollment and Innovation.

Primary Responsibilities (Staff Positions Only):

Provides administrative support and manages the daily operations of budgets for the department of Innovation within Strategic Enrollment and Innovation ( SEI ). Manages calendars, schedules meetings, records and disseminates meeting minutes, and handles correspondence for the Associate Vice President of Innovation. Oversees budget requests, assisting with annual budgeting, and ensuring compliance with university policies while monitoring expenses, P-Card purchases, and account expenditures. Prepares financial and statistical reports, reconciles complex data, and maintains accurate records. Implements departmental processes, monitors project timelines, and identifies potential issues. Organizes and coordinates departmental events as well as handles travel arrangements, including conference registration, flight bookings, lodging, and reimbursements. Trains staff on budget processes, promotion procedures, and workload compliance while ensuring adherence to federal and state laws and university regulations. Reviews and revises policies and procedures as needed. Prepares and distributes documents and reports, attends meetings, takes notes, and handles correspondence. Orders and manages inventory for department needs. Serves as a liaison with university departments, faculty, staff, students, and external stakeholders. Conducts research on an as-needed basis, compiling information, and preparing reports or publications for internal distribution. Maintains and organizes sensitive files and documents related to strategic projects, personnel, and the university’s strategic priorities. Supports other departmental initiatives as needed through augmenting other teams, assisting with basic report writing, creating forms and workflows to capture electronic signatures, etc. Performs other related duties as assigned.
