Job Description:
The Surgery Scheduler manages the complex logistics of booking surgeries, acting as a central coordinator between providers and provider office teams, patients, hospital departments and facility sub-specialties to ensure that ORs, equipment, and staff are ready. This role handles everything from initial requests to post-op details and resolves last-minute conflicts to maintain smooth surgical flow. The Surgery Scheduler is responsible for scheduling patients at Intermountain Healthcare hospitals, ensuring that processes and procedures in EPIC are followed. This role is also responsible for providing accurate information, including demographic, clinical, procedural, and prep details. This position enhances the provider’s experience by offering a single point of contact for referring offices. As the introductory face to the facility, this position is expected to exceed customer expectations.

Essential Functions

Maintains the surgery schedule, providing necessary patient information in the correct operating room (OR) and coordinating with providers and providers’ offices.

Coordinates patient placement in the schedule, ensuring necessary equipment, implants, and room availability are arranged prior to the procedure.

Communicates detailed information, including arrangements for arrival and procedure times.

Answers patients’ questions using strong customer service phone skills, empathetic listening, and professional communication standards.

Works with subspecialty teams to ensure accuracy of required implants, supplies, and equipment to support patient care.

Assists with cancellations by identifying reasons, taking complete notes, and passing along pertinent information.

May also learn billing and auditor roles.

Minimum Qualifications

Basic computer literacy, including the ability to use standard computer systems to enter, update, and retrieve information accurately.

Demonstrated customer service skills, including answering patient questions with professionalism, empathy, and clear communication.

Ability to collaborate effectively with cross functional teams to support day-to-day operations.

Strong organizational and communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Preferred Qualifications

Knowledge of medical terminology or entry-level medical training.

Previous experience with scheduling or similar role.

Experience using electronic medical record (EMR) systems, including Epic.
Physical Requirements

Ongoing need for employee to see and read information, labels, documents, monitors, identify equipment and supplies, and be able to assess customer needs.

Frequent interactions with providers, colleagues, customers, patients/clients and visitors that require employee to verbally communicate as well as hear and understand spoken information, needs, and issues quickly and accurately.

Manual dexterity of hands and fingers to manipulate complex and delicate supplies and equipment with precision and accuracy. This includes frequent computer use for typing, accessing needed information, etc.

For roles requiring driving: Expected to drive a vehicle which requires sitting, seeing and reading signs, traffic signals, and other vehicles.
