Description

The Program Analyst provides comprehensive administrative, academic, and program support to the Department of System Engineering and Management (ENV) and the Systems Engineering (SE) Distance Learning and Resident Programs. This role manages student records, thesis processing, academic evaluations, course offerings, event coordination, suspense calendars, and public affairs review processes. The coordinator ensures smooth academic operations, accurate documentation, and timely communication across faculty, staff, students, and institutional partners.

Primary Responsibilities

  • Serve as the department liaison for Public Affairs, coordinating the review and release of academic and departmental materials.

  • Support travel processing as a Non‑DTS Entry Agent (NDEA) including entering trip requests and vouchers; assist faculty and students as needed.

  • Provide administrative support for special events, including end‑of‑program reviews, workshops, seminars, and meetings.

  • Manage room scheduling, event logistics, equipment needs, protocol coordination, and visitor parking arrangements.

  • Process updates to the AFIT Catalog, ENV Blue Book, and course information within academic systems.

  • Track courses, student registrations, advisor assignments, and program data for SE Distance Learning students.

  • Manage admissions processing for DL programs, including evaluating applications and communicating acceptance decisions.

  • Coordinate thesis administration for both DL and resident students, including communication of requirements, review of submissions, approval verification, and posting to required systems.

  • Schedule thesis defenses and arrange VTC capabilities when required.

  • Maintain student academic records, including program coding, specializations, course substitutions, and administrative updates.

  • Manage academic suspense calendars, ensuring timely reminders for faculty and accurate tracking of deadlines such as textbooks, grades, rosters, and enrollment reports.

  • Consolidate resident course offerings from program chairs and submit finalized inputs to the Registrar.

  • Coordinate graduation administration for resident and DL students, including degree verification, preparation of memorandums, Dean’s Letters, and graduation package reviews.

  • Support students with course registration, academic systems (e.g., AU Learner Portal), and general administrative needs.

  • Process academic evaluation updates, transfer credit requests, incomplete course requests, and new course offerings in accordance with established procedures.

  • Other duties as assigned

Required Qualifications

  • Must be a US Citizen

  • Bachelor’s degree or equivalent experience in academic administration, education support, or a related field.

  • Seeking 10-12 years of relevant experience

  • Active Secret Clearance.

  • Strong organizational skills with the ability to manage multiple deadlines and maintain accurate records.

  • Proficiency with academic or student information systems (e.g., SLcM/Colleague) and Microsoft Office Suite.

  • Excellent written and verbal communication skills, including the ability to coordinate across faculty, staff, students, and external partners.

  • Demonstrated ability to work independently, solve problems, follow established procedures, and handle sensitive information with discretion.
