Job Description
Position Purpose:
The Program Coordinator serves as administrative and operational support for assigned data center commissioning projects for a particular client. This role supports and coordinates various aspects of complex commissioning projects to ensure on-time/budget delivery and client satisfaction. This is NOT a technical field role, success requires strong project management, financial acumen, team relationship skills.
Primary Duties/Responsibilities:

Administrative tasks for assigned programs - Process administrative requests; maintain project records; support program coordination; ensure compliance with company policies and procedures.

Project financials and performance - Monitor, and reconcile project budgets; track costs and expenditures; identify budget variances and cost overruns; ensure accurate project profitability tracking; prepare financial reports for leadership and clients.

Project schedules and milestones - Understand project schedules maintained by PM; monitor project progress against SoW and milestone schedule; maintain communication for project activities across technical teams and sub-consultants.

Documentation and records - Support organization of project files and folders; ensure accurate project records; support project closeout and lessons learned documentation.

Project status reports - Develop monthly project status reports; support development of reports for leadership and clients; track key performance indicators; identify trends and issues.

Client meetings and program activities - Support client / team meetings and workshops - invites and minutes; prepare meeting agendas and materials; track meeting decisions and action items.

Technical teams and sub-consultants - Work with technical Project Managers/Commissioning Managers on milestone / task assignments; communicate assignments and scheduled work.

Change orders and contract modifications - Support change order proposals and workflow; track status of pending and approved change orders.

Proposal development and pricing - Enter sales leads into Salesforce and support with proposal development; manage proposal process.

Process improvement - Support standardized processes and deliverables; collaborate with other Program Managers on cross-program issues.
Qualifications
Education/Experience/Background:
-
Bachelor's degree in Business, Operations, Project Management, Engineering, or related field (or equivalent work experience).
-
3+ years of project coordination, operations, or business coordination experience.
-
3+ years coordinating project budgets, schedules, and financial tracking.
-
2+ years in a fast-paced, technical environment (data center, commissioning, or similar).
-
Experience with change order management and contract administration.
-
Experience with client program management and stakeholder communication.
-
Experience with proposal development and pricing.
-
Working knowledge of the commissioning process (Pre-Design, Design, Commissioning, Post-Turnover).
-
Experience in AI tools such as Gemini Notebook, chat agents, and/or agent builders.
Knowledge/Skills/Abilities:
-
Excellent project coordination and organizational skills.
-
Strong financial acumen and budget management.
-
Excellent written and verbal communication skills.
-
Proficiency with project management tools (Smartsheet, Microsoft Project, or similar).
-
Proficiency with financial tools (Excel, accounting software).
-
Ability to manage multiple priorities simultaneously.
-
Problem-solving and critical thinking skills.
-
Ability to work independently and take initiative.
-
Attention to detail and accuracy (especially financial).
-
Strong analytical and problem-solving skills.
-
Great PC and Microsoft Office skills (Word, Excel, PowerPoint).

Ability to navigate through a variety of computer applications.

High level of professionalism and integrity,

Excellent typing skills.

Additional Information
Pay Range: $70000 to $80000 Annually.
