Description
Summary: Under the supervision of the Senior Director of Data and Development Operations, the Development and Communications Specialist provides administrative, project, and operational support to a dynamic Development and Communications Department. A collaborative and detail-oriented team player, the incumbent will help the department meet ambitious revenue growth goals by supporting the increasing volume of donations, new donor and constituent contacts, and related development activities. The Specialist will help ensure that departmental processes, systems, and workflows effectively support continued growth and advance Safe Horizon’s organizational priorities, while contributing to our enthusiastic and professional team.
Responsibilities:

Process incoming mail on a weekly basis
-
Enter donations batches into Salesforce
-
Draft, edit, print, coordinate signatures, and mail/email timely gift acknowledgment letters for all donors (individual, corporate, foundation).

Refresh copy in standard Safe Horizon letters or emails sent to donors.

Maintain records of donations including proposal and related acknowledgment, and pledge documentation for Finance Department and audit trail

Generate routine reports in Salesforce

Update leads in Salesforce generated through online acquisition efforts, and assist Director of Development Data & Operations in updating contacts by their lead source and portfolios

Manage the new donor postcard acknowledgment process, including maintaining donor lists, preparing postcards, and tracking ROI.

Use online portals for workplace giving and matching donations, and retrieve donor information from these systems to enter into Salesforce

Working with Director of Development Data & Operations and Finance Manager of Accounts Receivable, run look ups in Excel to verify credit card donations reconcile between Salesforce database and Finance reports

Update donation records with matching gift information, and linking matching corporate donations to their original donation, running regular reports of matching activity and notifying portfolio managers of match eligible gifts that have not closed timely

Deliver batch postings, and routine reconciliation reports on a set schedule to our Finance partners

Enter email chains, and other contact history into donor records in Salesforce, update donor preferences for communications or do not mail requests

Assist team members with special events as needed

Other projects as needed
Qualifications:
-
3+ years’ experience with office systems, preferably in a non-profit environment. Prior experience using Salesforce (or similar data system) is preferred.

Familiarity with internet-based applications, and experience using online systems such as fundraising platforms, donation tracking systems, or online portals

Experience managing filing systems, familiarity with Share Point is preferred but not required

Experience using websites and online portals,
-
Familiarity with online design tools like Canva or similar platforms
-
Commitment to Safe Horizon’s core values including client-centered practice, a commitment to racial equity, and social justice

Must be able to meet deadlines and work independently

Possess strong attention to detail and ability to work independently and as part of a team

Microsoft Office suite including Excel, Word and Power Point, and Outlook meeting scheduling required. Strong Excel analytic skills including use of pivot tables, is preferred.

Database entry experience including transaction and contact information, database reporting, and basic administration skills are required.

Understanding of fundraising practices related to gift processing, acknowledgment and stewardship

Working knowledge of how non-profit organizations operate
