The Coordinator, Publicity will support the Global Publicity team by managing department billing, invoicing, budget tracking, vendor coordination, and operational processes across film publicity campaigns. This role serves as a key partner to publicists and cross-functional teams, ensuring timely processing of financial and administrative activities while supporting special projects, events, and team initiatives as needed.

The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced entertainment marketing environment.

Essential Responsibilities

  • Process and track invoices, purchase orders, vendor payments, expense reports, and budget reconciliations across multiple film campaigns and projects

  • Partner with Finance and external vendors to ensure timely payment processing and accurate financial records

  • Create purchase orders, onboard new vendors, maintain vendor documentation, and resolve billing discrepancies as needed

  • Manage departmental budget trackers and reporting documents, ensuring spending is accurately recorded and communicated to publicity leadership

  • Assist with preparing presentations, recaps, and other departmental materials

  • Support publicity events including premieres, screenings, junkets, press days, film festivals, and special projects as needed

  • Provide project support for department initiatives, events, and special projects as assigned

Basic Qualifications

  • Minimum 1 year of experience in entertainment, media, marketing, publicity, finance, operations, or a related field

  • Strong proficiency in Microsoft Office, particularly Excel, Outlook

  • Willingness to work occasional evenings and weekends in support of publicity events and special projects

Desired Characteristics

  • Bachelor’s degree preferred

  • Experience working with financial systems, purchase order platforms, or vendor management tools is a plus

  • Experience processing invoices, managing budgets and expense reports preferred

  • Exceptional attention to detail and organizational skills

  • Comfortable handling confidential and sensitive information

  • Ability to manage multiple priorities while meeting deadlines

  • Proactive problem solver with strong follow-through

  • Excellent written and verbal communication skills

  • Ability to anticipate needs and identify process improvements.

  • Interest in film marketing, publicity, and entertainment

Additional Requirements

  • Hybrid: This position currently has a hybrid schedule, which requires contributing from the office a minimum of four days per week. The Company reserves the right to change in-office requirements at any time.
