Description

JOB SUMMARY: The Clinical Education Coordinator provides comprehensive coordination and administrative support for LECOM’s 3rd and 4th year podiatric medicine students, with primary responsibility for coordinating student clinical rotations, scheduling, credentialing and compliance requirements, clinical education systems, evaluations, and related student records.

The position requires a high degree of organization, attention to detail, independent judgment, and recurring coordination across multiple systems, departments, students, clinical sites, and other stakeholders. The Clinical Education Coordinator routinely gathers information from multiple sources, reconciles and verifies information for accuracy and completeness, identifies discrepancies or missing requirements, follows up with appropriate individuals or organizations, and ensures that accurate information is reflected across applicable institutional and clinical education systems.

The position serves as an important operational link between students, clinical education leadership, external clinical sites, and college departments, ensuring that clinical education requirements, schedules, documentation, and records are complete, accurate, current, and communicated to the appropriate parties.

CHARACTERISTIC JOB TASKS AND RESPONSIBILITIES:

  • Coordinate and maintain student clinical rotation schedules, including in-house and external rotations, ensuring accurate placement, scheduling, and communication across students, clinical sites, and institutional departments. Manage site-specific rotation and credentialing requirements, including use of external systems and platforms as required by individual clinical sites.

  • Coordinate fourth-year clinical rotation scheduling by integrating information from students, AACPM Clerkship, GME, external clinical sites, and other sources; review schedules for completeness and accuracy and resolve discrepancies as needed.

  • Manage student clinical credentialing and compliance requirements, including collection, verification, maintenance, and submission of required documentation to clinical sites and institutional systems.

  • Administer and maintain the college’s clinical education information system (eValue), including student schedules, credentialing and compliance data, clinical evaluations, case logs, user and preceptor information, and related clinical education records; enter, update, verify, and report data as needed to support program operations.

  • Coordinate student clinical evaluations and related academic processes, including monitoring completion, following up on outstanding requirements, processing grading data as required, and maintaining accurate academic and clinical education records.

  • Serve as an administrative liaison among students, faculty, clinical sites, preceptors, affiliated organizations, and college departments, coordinating clinical education requirements, facilitating timely communication, and resolving routine issues and outstanding requirements.

  • Reconcile and verify information across multiple systems and stakeholders, identifying missing, inconsistent, or inaccurate information and independently coordinating appropriate follow-up and resolution.

  • Serve as the college administrative coordinator for AACPM Clerkship and NMS CASPR Match processes, including maintaining student information, submitting required materials, monitoring deadlines, and tracking schedules and results.

  • Maintain clinical education resources and administrative materials, including Canvas content, recurring scheduling documents, reports, correspondence, and related student and program records.

  • Provide ongoing administrative and operational support to the clinical education program and leadership, maintaining confidentiality and security of student and program information in accordance with FERPA, applicable laws, and institutional policies and procedures, and exercising independent judgment in managing competing priorities, deadlines, and routine clinical education issues.

  • Demonstrate knowledge and understanding of accreditation processes, governing body responsibilities, and overall operation of the institution.

  • Promotes and preserves the mission of LECOM;

  • Participates in designated Institutional activities;

  • Contribute directly to the Mission of LECOM embodying the essence of Osteopathic Principles and Practices by assisting with Institutional fundraising and participating in the LECOM Scholarship Auction;

  • Commit to being a representative of LECOM by being actively involved in the community, including, but not limited to, serving on Boards, participating in community fundraisers and overall outreach; and

  • Other duties as needed / assigned by the Dean and/or his/her designee to maintain efficient and effective daily operations.

Minimum Requirements

KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS: Must possess required knowledge and be able to explain and demonstrate, with or without reasonable accommodations, that the essential functions of the job can be performed.

  • Strong computer literacy with Office 365 (Word, PowerPoint, Excel, Teams…etc.); accurate data entry and typing skills

  • Preferred/very helpful: Experience with program administration software (MedHub/eValue), rotation management systems (mCE, Clinician Nexus), Learning management platforms (Canvas LMS), SalesForce

  • Excellent organizational skills;

  • Maintaining an established work schedule;

  • Ability to be self-reliant and follow instructions;

  • Ability to create and proofread documents, schedules, reports, slide decks;

  • Assistant must have sound decision making capabilities and the ability to work independently and as directed by the ADCE;

  • Capable of assuming responsibility; initiating appropriate action; and maintaining confidentiality;

  • Possess excellent grammar, writing and proofreading skills;

  • Experience in using various office equipment, i.e. copier, fax, scanner, etc.;

  • Ability to work in a fast-paced environment that requires multitasking;

  • Effectively using interpersonal and communications skills including tact and diplomacy;

  • Effectively using organizational and planning skills, including, but not limited to, attention to detail and follow-through;

  • Assessing and prioritizing multiple tasks, projects, and demands;

  • Maintaining high level of confidentiality of work-related information and materials;

  • Establishing and maintaining effective working relationships;

  • The ability to accept work requests from other managers and supervisors in a respectful and cooperative manner and to independently answer such requests;

  • The ability to work cooperatively and collegially with others, consistent with a workplace of dignity and respect and EEO rules and regulations;

  • The ability to devote full attention and energy to the important work of LECOM in a timely fashion; and

  • Be able to be flexible to accept other duties needed/assigned for the Institution’s needs.

MINIMUM QUALIFICATIONS: Education and experience equivalent to: a high school diploma or GED equivalent is required. An associate or bachelor’s degree is preferred. A minimum of two (2) to three (3) years’ work experience in a business, industry or higher education environment is preferred.

Successful candidate must possess efficient and effective verbal and written communication skills, multi-task and problem solve, prepare reports and be proficient in Microsoft Word, Excel and other various internet resources to properly support and promote the mission of LECOM.
