Assistant Planner
Pay: $25-30
Position Summary
We are seeking a dependable, organized, and motivated Assistant Planner to support scheduling, job tracking, and workflow coordination within a fast-paced shop environment. This position will work closely with shop personnel, Quality Control, Purchasing, vendors, and management to help ensure jobs progress efficiently and meet customer-required completion dates.
The ideal candidate will have strong organizational and follow-up skills, excellent attention to detail, and the ability to manage multiple priorities. Previous experience with rotating equipment, industrial repair, manufacturing, or mechanical operations is preferred but not required. Candidates with strong mechanical aptitude, a willingness to learn, and the ability to quickly understand shop processes will also be considered.
Key Responsibilities

Assist with planning, scheduling, and tracking jobs throughout the shop from initiation through completion.

Monitor job schedules, milestones, due dates, and customer-required completion dates.

Follow up with shop personnel and department leads to ensure work remains on schedule.

Coordinate with Purchasing to track parts, materials, and outside services required for active jobs.

Communicate with Quality Control regarding inspections, documentation, and job requirements.

Maintain accurate job records, work orders, schedules, status updates, and supporting documentation.

Identify potential material shortages, scheduling conflicts, production delays, or other issues that could affect delivery dates.

Escalate scheduling concerns and potential delays to management in a timely manner.

Assist with prioritizing jobs based on customer requirements, material availability, shop capacity, and production needs.

Communicate with vendors and internal departments to obtain status updates and keep projects moving forward.

Maintain consistent follow-up on outstanding action items.

Assist with updating ERP/work-order systems and planning spreadsheets.

Support continuous improvement efforts related to planning, scheduling, workflow, and job tracking.

Develop an understanding of rotating equipment, repair processes, shop capabilities, and production requirements.
Qualifications

Strong organizational and time-management skills.

Excellent attention to detail and accuracy.

Strong written and verbal communication skills.

Demonstrated ability to follow up consistently and drive action items to completion.

Ability to manage multiple jobs, deadlines, and changing priorities simultaneously.

Strong sense of urgency and ability to perform effectively in a fast-paced shop environment.

Basic mechanical aptitude with a willingness to learn rotating equipment and repair processes.

Strong problem-solving skills with the ability to recognize potential delays or workflow issues.

Comfortable communicating and coordinating with shop personnel, QC, Purchasing, vendors, and management.

Proficiency with Microsoft Excel, Outlook, and general computer applications.

Experience with ERP, work-order, MRP, or production-management systems preferred.

Dependable, accountable, team-oriented, and willing to take initiative.
Preferred Experience
-
Previous experience in planning, scheduling, production coordination, manufacturing, machining, maintenance, or industrial repair.

Experience working in a shop or manufacturing environment.
-
Knowledge of rotating equipment such as pumps, compressors, turbines, motors, or similar mechanical equipment is a plus.

Experience tracking parts, materials, work orders, production schedules, or customer delivery requirements.
Ideal Candidate
The successful candidate will be proactive and highly organized, with the ability to stay ahead of job requirements rather than simply reacting to problems. This individual should be comfortable communicating across departments, following up consistently, identifying potential bottlenecks, and helping ensure each job progresses through the shop according to schedule.
This position offers an opportunity to develop hands-on knowledge of production planning, scheduling, shop operations, and rotating equipment while growing into greater planning and coordination responsibilities.
