Position Snapshot
The Bookkeeping Manager owns a portfolio of Home Healthcare business clients from end to end and leads an offshore bookkeeping team. The Bookkeeping Manager serves as the primary point of contact for assigned clients, acts as the reviewer and quality gate for the work the team produces, and keeps month-end close on schedule across the whole book of business. The ideal candidate is able to set priorities, make judgment calls on routine accounting questions, catch problems before clients do, and recognize when something genuinely needs escalation. This position reports to the Chief Financial Officer.
Core Responsibilities

Client Management • Serve as the primary contact for a portfolio of bookkeeping clients, handling onboarding, scoping, recurring communication, and issue resolution

Run monthly and quarterly check-ins and explain financial results in plain language to business owners

Identify scope creep, flag out-of-scope work, and recommend upsell opportunities (ex: CFO advisory) to leadership

Maintain client satisfaction and retention, and proactively address late documents, missing information, or recurring errors

Offshore Team Leadership • Assign, prioritize, and track work for offshore bookkeepers across time zones, maintaining a reliable daily overlap window

Review all team output (bank and credit card reconciliations, transaction categorization, journal entries, AP/AR allocations, financial statements) before delivery to clients

Train, coach, and give regular performance feedback

Write and maintain SOPs, checklists, and client-specific notes so work is repeatable

Monitor productivity, turnaround times, and error rates, and address performance gaps directly

Manage access and data-security practices for offshore staff (least-privilege system access, secure document handling)

Bookkeeping and Close • Own the month-end close calendar for all assigned clients and ensure deadlines are met

Prepare or review monthly financial statements (P&L, balance sheet, cash flow) and investigate unusual variances

Handle more complex entries the team escalates: accruals, prepaid/deferred items, fixed assets and depreciation, loan amortization, intercompany activity, and cleanup/catch-up projects

Oversee or coordinate payroll reconciliation

Prepare clean year-end packages and support the CPA/tax team with requested schedules and adjustments

Process and Operations • Improve workflows using automation and app integrations (bank feeds, receipt capture, practice management tools, etc)

Maintain the accounting system (QuickBooks, etc) so work status is always visible

Contribute to capacity planning and hiring decisions for the offshore team

How Success Is Measured • 30 Days: Learn client portfolio, systems, and support SOP finalization; establish working rhythm and communication cadence with offshore team

60 Days: Independently run month-end close for portfolio, deliver reviewed financials on time, and identify top process gaps

90 Days: Fully own client relationships and team management, implement at least one process improvement, and deliver first team performance review

Other duties as assigned
Experience and Skills
- Minimum 3 years of experience in bookkeeping or accounting, with at least 2 years in a client-facing bookkeeping firm, CPA firm, or outsourced accounting environment
- Minimum 1-2 years of experience in supervising or reviewing the work of other bookkeepers (remote or offshore team experience strongly preferred)
- Advanced QuickBooks Online proficiency
- Solid understanding of accrual vs. cash accounting, reconciliations, and business financial statements
- Experience managing multiple clients and deadlines simultaneously
- Clear, confident, professional written and verbal communication with business owners
- Comfortable with cloud accounting apps (e.g., Bill.com, Gusto/ADP, Expensify, Ramp)
- Experience with multi-entity clients, or industry niches of healthcare or professional services preferred
- Experience building or maintaining SOPs and onboarding new team members preferred
- Dynamics 365 proficiency preferred
Education and Qualifications
- Associate's Degree or Bachelor's Degree in Accounting or a related field preferred
- QuickBooks Online Certification preferred
