Full job description

Mindex is looking for a highly organized and proactive Business Operations Analyst to provide advanced administrative and operational support across the organization. In this role, you’ll partner with business leaders, internal teams, and clients to coordinate priorities, manage important information, and help keep day-to-day operations running smoothly.

You’ll organize meetings and documentation, prepare reports and presentations, monitor requests, and ensure commitments are followed through to completion. The ideal candidate is resourceful, detail-oriented, comfortable working with technology, and able to anticipate needs while managing multiple priorities.

This position is based in West Palm Beach, Florida, and requires working onsite at least three days per week, with the option to work onsite more frequently. Candidates must live within a reasonable commuting distance of the office and be able to meet the position’s regular onsite requirements.

Compensation

$60,000 - $90,000

What You'll Accomplish

  • Provide high-level administrative and operational support to business leaders and internal teams.

  • Coordinate meetings, prepare agendas, capture notes, and track action items through completion.

  • Manage calendars, scheduling, and meeting logistics across multiple stakeholders.

  • Prepare professional correspondence, reports, presentations, spreadsheets, and other business materials.

  • Organize and maintain confidential records, shared files, process documentation, and business information.

  • Monitor operational requests and ensure timely follow-up, communication, and resolution.

  • Support internal projects by coordinating timelines, deliverables, meetings, and stakeholder communication.

  • Collect, organize, and validate information across multiple systems and spreadsheets.

  • Create and maintain standard operating procedures, user guides, templates, and internal resources.

  • Identify administrative and operational processes that could be made more efficient.

  • Serve as a dependable point of contact for internal teams, clients, and external partners.

  • Handle sensitive and confidential information with professionalism and discretion.

Requirements

  • 2+ years of experience in executive support, business operations, administrative coordination, or a similar role.

  • Experience supporting leaders or multiple business teams in a fast-paced professional environment.

  • Strong organizational skills and exceptional attention to detail.

  • Demonstrated ability to manage calendars, meetings, competing priorities, and follow-up activities.

  • Strong written and verbal communication skills.

  • Proficiency with Microsoft Outlook, Word, PowerPoint, Teams, and Excel.

  • Experience creating professional documents, presentations, reports, and spreadsheets.

  • Ability to work independently, exercise good judgment, and take initiative.

  • Strong interpersonal skills and the ability to work effectively with employees, clients, and senior leaders.

  • Ability to handle confidential or sensitive information appropriately.

  • Bachelor’s degree in Business Administration, Communications, or a related field—or equivalent professional experience.

Nice to Have

  • Experience supporting senior executives or business leaders.

  • Experience with HR, payroll, or workforce management systems.

  • Experience coordinating onboarding or software implementation activities.

  • Familiarity with reporting tools or business systems.

  • Experience documenting processes and creating SOPs.

  • Experience working in a consulting, technology, or professional services environment.

  • Familiarity with the PEO industry.
