Job Summary
When equipment needs to be returned, repaired, or moved through warranty channels, disciplined coordination keeps customers informed and operations moving. As a Compliance Coordinator, you will own the day-to-day flow of RMAs while serving as a trusted link between internal teams and external customers. You will bring order to the details—tracking data, preparing documentation, communicating status, and supporting compliance and contract-related activity with care. This is a hands-on role for someone who can move quickly, write clearly, and protect the accuracy that customers and the business depend on. Your work creates real visibility across returns and repairs, helping the team stay ahead of issues instead of reacting to them.
Essential Functions
-
Own the return material authorization (RMA) process, coordinating product returns, warranty activity, and repair actions with accuracy and urgency.
-
Serve as a responsive point of contact for internal teams and external customers, providing clear status updates and resolving questions throughout the RMA lifecycle.
-
Gather, validate, track, and maintain warranty, repair, customer, and program data from multiple sources to support sound decisions and reliable records.
-
Prepare letters, reports, correspondence, and other documentation; maintain organized filing systems and ensure documents are submitted to the appropriate entities in accordance with applicable requirements.
-
Compile and analyze information using functional-area software to generate reports, timelines, tables, and communications that keep stakeholders aligned.
-
Support contract and compliance activities by acting as a reliable resource on organizational policies, procedures, and process requirements.
-
Improve workflow where needed, shift quickly among priorities, and take on special projects that strengthen customer support and operational execution.
Qualifications
-
High school diploma, GED, or an equivalent combination of education and experience.
-
At least 2 years of relevant professional experience.
-
Experience supporting product warranty, repairs, returns, or related customer-service processes.
-
Strong written and verbal communication skills, with the ability to communicate clearly with internal stakeholders and external customers.
-
Exceptional attention to detail, sound time-management skills, and a consistent record of delivering high-quality work by deadline.
-
Ability to collect, review, verify, and maintain accurate data and documentation from multiple sources.
-
Flexible, team-oriented approach with the ability to move quickly between projects, tasks, and priorities.
Preferred Qualifications
-
Familiarity with Federal Acquisition Regulation (FAR) and Defense Federal Acquisition Regulation Supplement (DFARS) requirements.
-
Previous experience in a contracts, subcontract, compliance, warranty, or repair-support position.
-
Experience supporting government, industrial security, or other regulated compliance environments.
Only candidates that meet the qualifications set forth above are eligible to be contacted for further information. We are interested in every qualified candidate who is eligible to work in the United States. However, we are not able to sponsor visas.
