Job Description

This role provides high-level executive and administrative support to multiple senior executives, with a strong focus on calendar management, prioritization, travel, meeting coordination, and confidential information. The ideal candidate should be able to:

  • Manage complex executive calendars and resolve scheduling conflicts.
  • Act as a calendar gatekeeper, understanding executive priorities and protecting their time.
  • Coordinate internal/external meetings, take notes, and follow up on action items.
  • Prepare executive presentations using Google Slides and other office tools.
  • Coordinate All Hands, off-sites, team events, and virtual meetings.
  • Manage domestic and international travel arrangements end-to-end.
  • Handle expenses, credit card reporting, and purchase orders.
  • Maintain Slack channels, distribution lists, shared folders, and team repositories.
  • Coordinate onboarding for new senior leaders.
  • Support other Executive Assistants when needed.
  • Manage multiple executives with different working styles and priorities.
  • Exercise strong judgment, discretion, confidentiality, and independence.
  • Adapt quickly to changing priorities and use AI/technology to improve efficiency and quality.
  • Demonstrated ability to manage multiple executives with differing working styles

Skills and Requirements

  • Provide high-level executive support by managing executive calendars, scheduling internal and external meetings, and resolving scheduling conflicts
  • Deliver strategic calendar gatekeeping based on an innate understanding of key priorities and executive objectives
  • Participate in executive meetings when appropriate, record meeting notes, and follow up on action items
  • Prepare presentation materials using Google Slides and office software for internal executive meetings and external engagements
  • Assist in organizing departmental All Hands meetings, off-site sessions, and virtual team-building events
  • Arrange end-to-end domestic and international travel logistics
  • Identify potential roadblocks and prioritize executive time based on a holistic awareness of company-level priorities
  • Prepare expense reports and manage monthly credit card purchasing reporting in a timely manner
  • Create and manage purchase orders to support departmental needs
  • Maintain updated team alias distribution lists, Slack channels, and shared repository folders
  • Manage onboarding schedules and logistics for new senior leaders joining the department
  • Perform administrative projects and act as a back-up support resource for other Executive Assistants as needed
