Job Summary:

The Physician Experience Specialist plays a pivotal role in enhancing the physician new-hire experience by managing a comprehensive onboarding process. This role involves a higher level of responsibility, including process optimization and stakeholder management.

Responsibilities:

  • Oversees and enhances physician pre-hire and onboarding checklists, ensuring timely completion and process efficiency.

  • Serves as a liaison for leadership, practice managers, and new physicians, delivering updates and resolving complex onboarding issues.

  • In collaboration with the Physician Experience Director, lead the effort to develop clear standards and expectations in regard to physician experience, learning and sharing best practices for optimal outcomes.

  • Develops and implements process improvements to streamline onboarding and status changes.

  • Proactively identify potential delays in the onboarding process and take corrective action to avoid disruptions. Escalates and resolves high-priority issues and works cross-functionally with all stakeholders to ensure seamless onboarding.

  • Manages confidential provider and practice-related information with the highest level of discretion.

  • Leads onboarding projects and initiatives aimed at enhancing provider experience and reducing time-to productivity.

  • Assists in the creation and refinement of onboarding to ensure alignment with organizational goals and regulatory standards.

  • Trains and mentors onboarding coordinators, ensuring understanding of best practices and compliance requirements.

  • Assist with the resolution of grievances or concerns raised by physicians, escalating as appropriate to senior leadership.

  • Work with IT and Support Services to ensure the necessary equipment and furniture is onsite and functional for the physicians prior to their start date.

  • Attend biweekly onboarding meetings held by the medical staff office, HR, and manage care and work collaboratively with these departments to eliminate any delays in the physician’s start date.

  • Meet with the physicians on their start date to welcome them and ensure a seamless transition to the network.

  • Assist in preparations and marketing of the New Physician Meet and Greets.

  • Meet with the Physician Experience Director regularly to discuss onboarding updates, bringing any matters of concern to the forefront promptly.

  • Performs other special projects and duties as assigned.

Qualifications/Requirements:

Experience:

3–5 years of healthcare experience, preferably in physician practice. Proven experience in project management and process optimization. Strong customer service, organizational, interpersonal and communication skills. Experience working cross-functionally with senior leadership and multiple departments. Ability to multitask and independently manage high-priority tasks in a fast-paced environment.

Education:

Bachelor’s degree required. An equivalent combination of experience and education may be substituted for degree requirements.
