Position Overview

The Program Communications & Documentation Specialist plays a critical role in ensuring the clarity, consistency, and quality of organizational communications and technical content. This individual is a skilled writer and editor who thrives in a fast-paced environment, manages multiple priorities with precision, and serves as a central resource for documentation, communications, and administrative support. The ideal candidate brings exceptional attention to detail, strong organizational instincts, and the ability to translate complex technical information into clear, audience-appropriate content.

This position is a mix of technical writing, communications, and documentation librarian. Candidates with experience in technical writing/formatting, developing communications along with SharePoint administration are highly desirable.

Key Responsibilities:

Technical Writing & Documentation

  • Edit and maintain a broad range of technical and programmatic documents, including standard operating procedures (SOPs), program reports, and reference guides.

  • Ensure all documentation adheres to established style guides, grammar standards, and organizational formatting requirements.

  • Manage the full document lifecycle — from initial drafting through review, revision, approval, and version control.

  • Coordinate documentation review cycles with internal technical teams and external stakeholders, tracking feedback, consolidating comments, and ensuring timely resolution and final approval.

Communications Support

  • Draft, edit, and refine internal and external communications, including executive correspondence, announcements, newsletters, and stakeholder updates.

  • Tailor written content to diverse audiences, adjusting tone, format, and level of detail as appropriate for executive, technical, or general readership.

  • Proofread all outgoing communications to ensure accuracy, professionalism, and adherence to organizational voice and standards.

SharePoint Administration & Organization

  • Serve as a primary administrator of the organization's SharePoint environment, ensuring sites, libraries, and pages are well-structured, up to date, and accessible to the appropriate audiences.

  • Support and maintain intuitive SharePoint site architecture, including document libraries, folder hierarchies, metadata tagging, and permission management to support efficient information retrieval and collaboration.

  • Develop and enforce SharePoint governance standards, including naming conventions, version control protocols, and content lifecycle management.

  • Collaborate with IT and program teams to implement SharePoint enhancements, integrate workflows, and troubleshoot access or content issues as they arise.

Task & Administrative Management

  • Maintain organized tracking systems for open action items, document reviews, deadlines, and miscellaneous tasks — ensuring nothing falls through the cracks.

  • Support ad-hoc administrative tasks as needed, including scheduling, meeting minutes, and coordination of cross-functional activities.

  • Proactively follow up with stakeholders to ensure timely completion of assigned tasks and deliverables.

Qualifications

Required Qualifications:

  • 2 years with BS/BA; 6 years with a HS diploma/equivalent

  • Minimum of 2 years of experience in technical writing, documentation management, or a related communications role.

  • Demonstrated expertise in grammar, punctuation, style, and document formatting.

  • Proven ability to manage multiple concurrent tasks and deadlines with a high degree of organization and attention to detail.

  • Experience coordinating document reviews with cross-functional teams and external stakeholders.

  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and document management tools.

  • Strong interpersonal and communication skills, with the ability to work effectively across all levels of an organization.

  • Must be a US Citizen

  • Must be able to obtain and maintain the required agency clearance

Preferred Qualifications:

  • Experience supporting federal government programs or working within a regulated environment.

  • Familiarity with IT, infrastructure, or technology program documentation.

  • Experience with Microsoft SharePoint Online including site creation, document library management, permissions configuration, and content organization and SharePoint integration with Microsoft 365 tools (Teams, OneDrive, Power Automate).

  • Knowledge of Section 508 accessibility standards for documents, presentations, and SharePoint content.
