Administrative Support Specialist

Houston, TX (In-Office)

$22/hour

We're partnering with a leading global wealth management firm to hire an Administrative Support Specialist for their Private Wealth Management team. This role offers exposure to a fast-paced financial services environment and is a great fit for someone who is organized, professional, and eager to build a career supporting high-performing advisor teams.

Responsibilities

  • Support advisor and executive teams with daily administrative and operational needs.

  • Manage incoming and outgoing correspondence, including handling of checks, tax documents, and secure filing.

  • Coordinate travel arrangements and process expense reports for multiple team members.

  • Maintain calendars, schedule meetings, and provide phone coverage as needed.

  • Plan and coordinate office events, including recruiting activities, internal gatherings, and client events.

  • Handle day-to-day office logistics such as booking conference rooms, catering, printing, and visitor coordination.

  • Support client-servicing efforts with a focus on responsiveness and operational excellence.

Qualifications

  • Proficiency in Word, Excel, PowerPoint, and Outlook required.

  • Bachelor's degree preferred but not required.

  • Minimum 2 years of experience in a professional corporate setting; recent graduates interested in financial services are encouraged to apply.

  • Strong written and verbal communication skills.

  • Comfortable multitasking in a fast-paced, team-oriented environment.

  • Professional presence and business attire expected.
