Human Resources Assistant in Rensselaer, NY

The Human Resources Administrative Assistant supports the day-to-day operations of the Human Resources and Training functions by providing administrative support, records management, employee support, and training coordination. This role serves as a key point of contact for employees, visitors, and internal stakeholders; supports recruitment and onboarding activities, coordinates training assignments, and ensures HR and training documentation is maintained in accordance with applicable SOPs, GMP requirements, and regulatory expectations.

Responsibilities

  • Day-to-day administrative assistance for the Human Resources and Training teams

  • Serve as the initial point of contact for the HR department by greeting walk-in visitors, responding to phone and email inquiries, and responding to employee inquiries

  • Maintain HR records, spreadsheets, charts, reports, electronic files, employee files, and other HR-related documentation

  • Maintain the Learning Management System, including curriculum assignments based on role, course definitions, training completion records, and initiating training reports

  • Support the implementation, communication, and administration of HR programs

  • Perform file audits to ensure required documentation is collected, complete, and up to date

  • Support recruitment activities, schedule interviews, and manage schedule changes

  • Assist with new hire orientation, onboarding activities, and exit interview processes

  • Purchase office supplies and reconcile expense statements

  • Read and interpret SOPs, policies, training documents, and safety instructions

  • Promote safe work practices in accordance with site expectations

  • Perform other related duties as assigned

Qualifications

  • High school diploma or GED

  • Minimum of 2 years’ experience in a Human Resources department

  • Ability to manage sensitive information with confidentiality

  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Visio, and Outlook)

  • Ability to quickly learn and adapt to new software systems (i.e., Oracle, ADP)

  • Strong organizational skills and attention to detail

  • Excellent verbal and written communication skills, including the ability to communicate clearly with employees, supervisors, learners, as well as internal and external stakeholders

  • Ability to compile reports, communicate training status, and calculate figures such as percent complete or incomplete.

  • Ability to read and interpret documents such as SOPs, safety instructions, policies, manuals, and written instructions

  • Ability to foster a collaborative and positive work environment and support change

Preferred

  • Associate’s or bachelor’s degree in Human Resources or a related field

  • Prior LMS experience (i.e., Noverant)

  • Experience working in a regulated industry, including FDA or DEA regulated environments

  • Experience working in a GMP manufacturing environment

Other Qualifications

  • Must pass a background check

  • Must pass a drug screen

  • May be required to pass Occupational Health Screening

Pay Range : $52,000-$72,500/yr.

Education, experience, location and tenure may be considered along with internal equity when job offers are extended.
