Job Summary:

The Administrative Manager oversees daily administrative operations and support services to ensure organizational efficiency and effectiveness. Responsibilities include office administration, records management, payroll coordination, travel and meeting planning, procurement support, telecommunications, supply management, and property accountability. This position develops and implements processes that improve productivity, customer service, and operational performance while coordinating resources, personnel, and workplace services to support organizational objectives.

Must be US Citizen

Clearance Required: Must be willing to obtain

Location: Remote

Position: Contingent upon award of Contract.

Responsibilities:

  • Oversee daily administrative operations and support services to ensure efficient organizational performance.

  • Manage office administration functions, including records management, correspondence, document control, and reception services.

  • Coordinate payroll, travel arrangements, conference planning, and employee support activities.

  • Administer procurement, inventory, distribution, and accountability of supplies, equipment, and organizational assets.

  • Develop, implement, and maintain administrative policies, procedures, and process improvements that enhance productivity and customer service.

  • Coordinate mail services, data processing, telecommunications, printing, and reproduction activities.

  • Monitor administrative budgets, expenditures, and resource utilization to support operational objectives.

  • Ensure compliance with organizational policies, regulations, and recordkeeping requirements.

  • Serve as a liaison between departments to facilitate communication, resource coordination, and operational support.

  • Oversee property management activities, including acquisition, storage, disposition, and disposal of surplus assets.

  • Analyze administrative processes and recommend solutions to improve efficiency, service delivery, and workplace effectiveness.

  • Prepare reports, maintain operational records, and provide administrative support to leadership as needed.

  • Coordinate workplace services and facilities-related activities to ensure a safe, functional, and productive work environment.

  • Support special projects and organizational initiatives as assigned.

Qualifications:

  • Bachelor’s degree in Accounting, Finance, Economics, Business Administration, or a related field.

  • Minimum of three (3) years of professional experience in administrative management, business operations, finance, office management, or a related discipline.

  • Demonstrated experience coordinating administrative functions, operational support services, or business processes.

  • Strong organizational, analytical, and problem-solving skills with the ability to manage multiple priorities effectively.

  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.

  • Excellent written and verbal communication skills.

  • Ability to work independently and collaboratively in a fast-paced environment.

  • Experience developing and implementing process improvements to enhance efficiency and customer service.

  • Ability to maintain confidentiality and exercise sound judgment in handling sensitive information.

Preferred Qualifications

  • Experience managing administrative operations within a government, or corporate environment.

  • Knowledge of records management, procurement practices, budget tracking, and property accountability.

  • Experience coordinating travel, meetings, conferences, and related logistics.

  • Supervisory or team leadership experience.

  • Familiarity with enterprise resource planning (ERP) systems, financial systems, or administrative management software.
