  • Coordinate, schedule, and facilitate e3 performance evaluations between staff and their managers

  • Collaborate with the recruiting agents; interview scheduling, candidate communication, and applicant-tracking system administration.

  • Coordinate new hire offers with Department Leadership, recruiting, and HR

  • Facilitate the start of a new hire with HR, IT, local office administrative personnel; act as a Jacobs Navigator or assign to Sector Managers as necessary

  • Develop an onboarding process and coordinate onboarding logistics with Jacobs Navigators as new hires are onboarded

  • Arrange local office onboarding with facility management and new hire to confirm new hire has required badging and security access to their local office.

  • Review and approve staff timesheets of direct reports or indirect reports as identified

  • Serve as the department's liaison to the centralized AM Support Functions (HR, Finance, Legal, IT, Marketing & Comms, and others) rather than duplicating those functions within the department

  • Support the staff through reciprocity process when required to get an architectural license in another state

  • Organize Monthly department staff meetings along with Department Leadership

  • Professional degree in Architecture (B.Arch or M.Arch) or Bachelor's degree in business administration, human resources, or related field, or equivalent professional experience.

  • Experience with developing work plans and assigning staff to execute the work

  • Strong proficiency with scheduling, resourcing, and reporting tools (e.g., MS Office/Microsoft 365, resource-management software).

  • Excellent organizational skills and demonstrated ability to manage multiple concurrent priorities across a growing team.
