Clinic Assistant

The University of Miami/UHealth Department of Family Medicine and Community Health has an exciting opportunity for a Full Time, Clinic Assistant to work in Miami.

Core Job Summary:The Senior Clinic Assistant works directly with patients and various healthcare facilities to obtain patient information for medical records in preparation for first clinic visits. The incumbent also assists with patient care, such as nursing activities and laboratory collections.

Core Responsibilities:

  • Explains HIPPA to patients and obtains signatures.

  • Submits signed consents to healthcare centers to initiate retrieval of medical records, x-rays, and other pertinent reports.

  • Tracks pending records to ensure delivery prior to clinic visits.

  • Communicates to the appropriate nurse coordinator if difficult or unable to obtain pertinent records.

  • Travels within the facility and campus to retrieve records, films, or CDs.

  • May collect and prepare specimens.

  • Maintains accurate clinical records per hospital policy while preserving confidentiality of patient information.

  • Assembles, completes, and processes patients’ charts.

  • Assists with ordering, receiving, distributing, sorting, and storing supplies.

  • Reports suspicious or unusual incidents to appropriate supervisory personnel.

  • Assists with clerical duties, to include receiving phone calls, sending faxes and emails, and scanning and copying documents.

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

Department Specific Functions:

  • Serves as a primary point of contact for patients seeking integrative medicine services, ensuring timely access and coordination of care.

  • Registers new patients and updates patient demographic and insurance information in the electronic health record.

  • Verifies insurance eligibility, benefits, referrals, and authorizations to support timely scheduling and reimbursement.

  • Schedules, reschedules, and coordinates appointments across multiple integrative medicine disciplines including physician visits, acupuncture, nutrition, massage therapy, behavioral health, and health coaching.

  • Manages provider schedules, appointment templates, and clinic capacity to optimize patient access and utilization.

  • Responds to patient scheduling requests received via telephone, patient portal and referral channels.

  • Maintains waitlists and proactively fills appointment cancellations to maximize clinic productivity.

  • Coordinates referrals from internal and external providers and facilitates collection of required medical records and supporting documentation.

  • Provides patients with appointment reminders, pre-visit instructions, intake requirements, and information regarding available services.

  • Monitors daily schedules and patient flow, identifying and resolving scheduling conflicts and access barriers.

  • Collects copayments, outstanding balances, and other patient payments in accordance with organizational policies.

  • Acts as a resource for patients by addressing questions related to scheduling, clinic processes, and service offerings.

  • Assists with operational and quality improvement initiatives designed to enhance patient experience, access, and clinic efficiency.

  • Provides cross-coverage for Clinical Business Operations Representatives (CBORs) during absences or periods of increased operational need.

  • Supports leadership with special projects, reporting requests, and operational initiatives.

  • High school diploma or equivalent

  • Minimum 3 years of relevant experience

  • Ability to work evenings, nights, and weekends as necessary.
