Position Overview
We are seeking a highly organized, proactive, and self-directed Operations Coordinator to support a growing real estate company specializing in residential rental properties, property renovations, and design-build projects throughout Los Angeles.
This is a hands-on operational support position, rather than a traditional Executive Assistant role. The ideal candidate will have experience in real estate, property management, or construction operations and be comfortable independently managing multiple priorities, coordinating vendors and contractors, and ensuring tasks are completed from start to finish.
The position is primarily remote, with occasional local property visits as needed.
Key Responsibilities
-
Coordinate property inspections, scheduling, and follow-up activities across multiple residential properties.
-
Communicate with vendors, contractors, and service providers regarding maintenance, repairs, renovations, and project timelines.
-
Monitor ongoing construction and renovation projects, track outstanding tasks, and follow up to ensure timely completion.
-
Support leasing activities, including coordinating property showings, tenant communications, and related documentation.
-
Gather, organize, and maintain property records, financial documentation, and supporting materials for refinancing and operational needs.
-
Maintain organized records of property activities, vendor communications, project updates, and outstanding action items.
-
Proactively communicate with internal stakeholders regarding project status, scheduling changes, and operational priorities.
-
Identify potential delays or issues and independently coordinate solutions.
-
Assist with general real estate operations and special projects as needed.
-
Conduct occasional local property visits to coordinate inspections, vendors, or project-related activities.
Requirements
-
Previous experience in real estate operations, property management, construction coordination, or a related field preferred.
-
Strong organizational and time management skills with the ability to manage multiple competing priorities.
-
Experience coordinating vendors, contractors, inspections, maintenance requests, or renovation projects.
-
Excellent written and verbal communication skills.
-
Ability to work independently, take initiative, and follow tasks through to completion with minimal supervision.
-
Strong attention to detail and experience maintaining accurate documentation and project records.
-
Proficiency with Microsoft Office, Google Workspace, and general administrative or project management systems.
-
Comfortable working remotely while maintaining consistent communication and accountability.
-
Ability to travel locally throughout the Los Angeles area as needed.
