Job Duties

HealthPartners is hiring for a full-time Program Coordinator.

POSITION SUMMARY STATEMENT:

The HP APC Fellowship Central Coordinator provides administrative support to the APC Fellowship Central Director and APC Fellowship Program Directors. In addition, the position will assist with all aspects of the central office operations and APC Fellowship program coordination support.

The Program Coordinator, APC Fellowships will also provide administrative support to the HP APC Fellowship Council.

MINIMUM QUALIFICATIONS:

Education: BA degree and 3 years of experience OR a combination of education and applicable experience to equal 7 years.

Experience: 5 years in medical or administrative area.Previous medical education experience with knowledge of residency/fellowship programs preferred.

Knowledge, Skills and Abilities:

Excellent communication skills, in person, by telephone and in writing.

Ability to establish working relationships with internal and external customers, and team members.

Proficiency with Microsoft Word, Excel, PowerPoint, the Internet and the ability to learn job-specific software.

Possess strong organizational skills.

Must be diplomatic, tactful and fair.

Maintain strict confidentiality.

Able to determine priorities, plan accordingly and meet deadlines with minimal supervision.

Take initiative and carry out complex oral and written directions.

Ability to interact respectfully regardless of an individual's race, creed or lifestyle.

Excellent written communication skills (i.e., create, proofread).

Ability to handle complicated scheduling in a short timeframe.

Ability to work in a hectic, ever changing environment.

Ability to handle multiple competing priorities simultaneously.

Must be proficient with the English language spelling and grammar.

ESSENTIAL DUTIES:

(35%) - Manage program operations and trainee lifecyle

Develops and manages the annual program calendar and operational plan

Coordinates onboarding, scheduling, recruitment (as applicable), and day-to-day program workflows

Maintains trainee records and supports tracking of progression and program requirements

Ensures a consistent and organized experience across the trainee lifecycle

Resolves standard operational issues independently

(25%) - Coordinate program requirements and compliance processes

Coordinates program requirements, including accreditation, compliance, and institutional processes, as applicable to the program

Maintains accurate program documentation and ensures timely completion of required workflows

Applies relevant guidelines (accreditation, institutional, or partner requirements) to support effective program operations

(15%) - Facilitate stakeholder communication and alignment

Serves as the primary liaison between trainees, faculty, departments, and partner organizations

Provides guidance on timelines, workflows, and expectations

Supports coordination across stakeholders to ensure smooth program execution

(10%) - Systems, reporting, and process improvement

Maintains systems and reporting tools used to support program operations

Identifies and implements workflow improvements within the program

(5%) - Support program coordination and team operations

Supports broader program or team initiatives and cross-coverage needs

Contributes to consistent processes across programs and teams

(5%) - Support evolving program and team needs

Performs other duties as assigned to support program, departmental, or organizational needs
