Schedule: Monday – Friday, 8:00am-5:00pm; Standard Business Hours | Schedule may vary based on business needs.

Position Summary:

The Admin Associate, EH&S provides administrative and operational support to the Environmental function within the Environmental, Health & Safety department. This position supports environmental compliance activities, waste management coordination, vendor administration, invoice and purchasing processes, inventory, data tracking, reporting, and document control. The role works closely with the Environmental team to maintain accurate records, coordinate routine activities, and support compliance with applicable environmental requirements and internal standards.

Essential Responsibilities:

  • Provide administrative and operational support for daily Environmental activities and compliance requirements.

  • Support environmental waste management activities, including documentation, container labeling, tracking, and recordkeeping.

  • Process production waste invoices in a timely manner and coordinate with waste vendors regarding transportation, scheduling, and logistics.

  • Coordinate environmental vendor registration and support annual vendor assessments.

  • Process MRO purchasing and EA requests for Environmental supplies and consumables.

  • Coordinate Environmental inventory and provide routine inventory reporting.

  • Conduct weekly environmental audits and maintain accurate documentation and records.

  • Enter, maintain, and track Environmental information within spreadsheets, databases, and applicable systems, including:

  • Monthly budget and expense tracking

  • Environmental data and metrics

  • Inspection, sampling, and audit records

  • Environmental observations and related documentation

  • Training records, as applicable

  • Maintain Environmental metrics, reports, presentations, and routine department communications.

  • Maintain environmental document control activities, including GPLM and the Master Document List.

  • Support DPMS activities and provide administrative support to the DPMS team.

  • Assist with environmental inspections, sampling activities, data collection, and related documentation.

  • Prepare spreadsheets, presentations, reports, correspondence, and other Environmental department materials.

  • Maintain organized electronic and physical records in accordance with document retention and department requirements.

  • Communicate and coordinate with internal departments and external environmental vendors to support department activities.

  • Maintain cleanliness at work-site in accordance with 5S3R Standards:

  • Sort, Set in order, Shine, Standardize, Sustain

  • Right Location, Right Quantity, Right Container

  • Perform other duties as assigned

Required Qualifications:

  • High School Diploma or GED.

  • 1 to 3 years of administrative, environmental, manufacturing, or other related work experience.

  • Proficiency with Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.

  • Ability to maintain accurate records, documentation, and data.

Preferred Qualifications:

  • Associate degree, vocational certificate, or other post-secondary education in Business Administration, Environmental Studies, Environmental Science, or a related field.

  • Previous administrative experience supporting an Environmental department or manufacturing operation.

  • Experience with waste management documentation, vendor coordination, purchasing, invoice processing, environmental data, or document control.

  • Effective verbal and written communication skills.

  • Ability to manage multiple priorities and assignments concurrently.

  • Ability to maintain accurate records and confidential business information.

  • Strong data entry, tracking, and documentation skills.

  • Ability to communicate effectively with internal teams and external vendors.

  • Proficiency in Microsoft Office Suite, particularly Excel.

  • Self-motivated with the ability to work independently and collaboratively.

  • Professional and positive approach to internal and external business interactions.

Work Environment & Physical Requirements:

  • Work is performed in both office and manufacturing environments.

  • Regular use of computers and standard office equipment.

  • Ability to walk through manufacturing and operational areas to support Environmental audits, inspections, inventory, sampling, and related activities.

  • May require standing, walking, bending, reaching, and handling supplies or materials.

  • Must follow required personal protective equipment, environmental, and safety procedures when entering designated manufacturing areas.
