Job Description

Position Summary: Circle K is seeking an experienced Labor and Employment Paralegal to provide substantive legal and operational support to the U.S. Labor & Employment Legal Team. Working under the supervision of counsel, this role will support employment litigation, administrative agency matters, demand letters, investigations, legal holds and discovery, and labor and employment compliance initiatives across the United States and, at times, the enterprise. The paralegal will independently coordinate matters, gather and analyze relevant information, maintain matter records and reporting, conduct legal research, and work closely with internal business partners and external counsel. The ideal candidate exercises sound judgment, demonstrates exceptional organization and attention to detail, and is comfortable managing multiple priorities in a fast-paced environment.

Main Responsibilities:

  • Manage the administrative lifecycle of assigned L&E matters, including intake, docketing, matter opening and closing, key deadlines, document organization, status tracking, and coordination with counsel, HR, and external counsel. Maintain matter-management data and prepare periodic reports and analyses regarding matter status, deadlines, litigation activity, external counsel spend, and other L&E metrics.
  • Support the engagement and administration of external counsel, including matter setup and maintenance, engagement documentation, invoice review and processing, budget and status tracking, and coordination with counsel and internal stakeholders in accordance with Company requirements.
  • Under the supervision of counsel, coordinate responses to demand letters, administrative charges, audits, and other employment-related claims, including gathering records, conducting factual interviews, developing chronologies, analyzing relevant information, and preparing drafts and supporting materials for counsel review.
  • Assist counsel throughout all phases of employment litigation and contested administrative matters, including factual investigation, case organization, discovery, witness and document identification, and coordination with internal stakeholders and external counsel.
  • Coordinate litigation-hold processes, including identifying relevant custodians and information sources, preparing hold notices under attorney supervision, tracking acknowledgments and follow-up communications, and maintaining appropriate documentation.
  • Coordinate collection and organization of personnel, payroll, timekeeping, scheduling, training, performance, leave, policy, and other relevant employment records for discovery and other legal matters.
  • Assist counsel on a broad spectrum of employment law matters, including, but not limited to, wage and hour, discrimination and harassment, leaves and accommodations, employee relations, workplace safety, internal investigations, government audits and administrative proceedings, and other employment compliance matters.
  • Conduct legal and regulatory research on federal, state, and local labor and employment developments and prepare concise summaries, research memoranda, compliance updates, and client alerts for counsel and internal stakeholders.
  • Assist counsel in drafting, reviewing, updating, and maintaining employment-related policies, procedures, templates, and other legal resources, including handbooks, separation and severance documents, investigation materials, and other employment-related forms and guidance.
  • Assist with the organization and maintenance of Labor & Employment Legal Team resources, including SharePoint content, legal templates, reference materials, law alerts, and other knowledge-management resources.
  • Maintain accurate matter-management data and prepare periodic and ad hoc reports concerning matter status, deadlines, litigation and administrative activity, external counsel activity and spend, and other labor and employment metrics.
  • Perform all other duties and special projects as assigned.

Job Requirements

  • Bachelor's degree, paralegal certificate, or equivalent combination of education and relevant legal experience.

  • Minimum of four to six (4 - 6) years of labor and employment law paralegal experience.

  • Experience supporting employment litigation, administrative agency charges, demand letters, investigations, discovery, or employment compliance matters strongly preferred.

  • Experience working in a large law firm or in-house legal department is preferred.

  • Project management experience is a plus.

  • Working knowledge of U.S. labor and employment law concepts and administrative processes, including matters involving discrimination and harassment, wage and hour, leave and accommodation, and employment-related agency charges. Familiarity with drafting employment policies and Statements of Position along with knowledge of HR terminology and principles.

  • Excellent written and verbal communication skills.

  • Self-motivated and able to quickly troubleshoot issues and provide solutions.

  • Ability to effectively collaborate in a team environment, take ownership of projects, and demonstrate independence needed to effectively and timely complete projects.

  • Extremely organized, strong ability to focus on details, demonstrate accuracy, maintain a high level of confidentiality, and excellent time management skills.

  • Adaptable to changing priorities and ability to thrive in a fast-paced, high output environment.

  • Advanced proficiency with Microsoft 365 applications, particularly Word, Excel, PowerPoint, Outlook, Teams, and SharePoint.

  • Experience with legal matter management, e-billing, eDiscovery, and document-management platforms strongly preferred; experience with Legal Tracker and Relativity is a plus.
