JOB DETAILS *Department:*Facilities Management *FTE:*1.0 (80 hours per pay period) *Workdays:*Monday - Friday *Shift(s):*Days *Shift Length:*8 hours *Location:*In-Person

*Purpose of this position:*The Facilities Management Coordinator is a critical role to ensure the efficiency of daily facilities operations and to provide safety and compliance oversite. This role will work directly with the CMMS (Computerized Maintenance Management System), participate in life safety routines and documentation, and be the point person for the department coordination of work order. Provide direction/information to vendors, facilities employees and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruption.

RESPONSIBILITIES

  • Maintain required documentation for healthcare compliance to meet the needs of various authorizes having jurisdiction including but not limited to The Joint Commission and CMS requirements. o fire alarm o sprinkler o emergency generator o emergency lighting and medical gas systems o etc

  • Develop and maintain written procedures and manuals in a central database to improve response and completion time, safety and work reliability

  • Responsible for the day-to-day management of the hospital’s CMMS (Computerized Maintenance Management System) and the point person for employee solutions and training, report creation and generation, field devices, program improvements and updates

  • Investigate, round, and report Environment of Care and Life Safety code issues, seek feasible solutions, manage metrics and report options to the immediate supervisor

  • Perform organization wide fire drills and maintaining appropriate logs and reports

  • Ensure communication and dashboards providing direct supervisors data on daily operations and decision support

  • Participate in Environment of Care rounds and provide data based reports for quarterly summaries for the Environmental Health and Safety Committee

  • Set up new vendors and contractors with safety training and badge access. Maintains compliance logs

  • Assists with coordination and scheduling of maintenance activities in coordination with facility leaders

  • Develops a daily pending and overdue backlog report allowing department leader to direct resources throughout the day

  • Ensures all work requests have the required information such as: equipment ID, problem description, location, and priorities.

  • Write, prepare, and proofread original correspondence, specialized reports, lists, tables, and other specialized departmental documents

  • Perform research and observations to help with decision support as necessary

  • Identify improvements and streamline daily workflow to meet the needs of the organization

  • Manage and work with floorplans as necessary to research and help direct work

  • Perform other duties as assigned

QUALIFICATIONS Minimum Qualifications:

  • Associate’s Degree in Business, Facilities Management, Liberal Arts, Science or a related field.
  • Two (2) years of progressively more responsible facilities/operations experience
  • Equivalent education, experience and/or training may be substituted for the degree requirement

Knowledge/ Skills/ Abilities:

  • Work experience as a Facilities Coordinator or similar role.
  • Strong knowledge of facilities management operations.
  • Hands on experience with facilities management CMMS.
  • Effective use of all Windows-based applications such as Word, Excel and Power Point
  • Ability to appropriately prioritize and carry-out work.
