Be the Operational Powerhouse Behind Major Construction and Engineering Projects

Location: Marshalltown, IA | Payrate: $21 | Schedule : 1st shift 7am to 5:30pm

PDS Tech Commercial is partnering with a leader in the energy industry to find a highly organized, bilingual Department Assistant who can keep daily operations running smoothly and serve as a trusted administrative resource for department management and field teams.

This is more than an administrative position. You'll help keep payroll and onboarding processes accurate, support field crews, coordinate essential office functions, and bridge communication with Spanish-speaking team members. Your attention to detail and ability to act quickly will make a direct impact on day-to-day operations.

What You'll Do

As a Department Assistant , you'll provide critical administrative support to department management while helping ensure business and field operations stay organized and on track.

Administrative & Operational Support

  • Assist with weekly time entry for field craft payroll.

  • Verify time entered into the jobsite badging system and communicate corrections as needed.

  • Assist with submitting and obtaining craft correction paychecks.

  • Enter and maintain information in jobsite IRA tracking logs.

  • Add apprentice information to the Baker Tilly third-party database.

  • Assist with new-hire paperwork and verify that documents are accurate and complete before submission to payroll.

  • Support general document-control processes.

  • Receive and coordinate UPS/FedEx deliveries and ensure packages reach the appropriate shipper or recipient.

  • Monitor office supplies and place orders as needed.

  • Assist with event, meeting, and training setup.

Bilingual Support

  • Finalize orientation paperwork for Spanish-speaking employees.

  • Provide day-to-day Spanish-language communication and support for crew members.

  • Translate documents and paperwork between English and Spanish as needed.

  • Help facilitate clear communication between field employees, management, and administrative teams.

Team & Department Support

  • Collaborate with department management to support business-line goals and objectives.

  • Respond to urgent administrative needs and changing priorities.

  • Work with a variety of personalities and maintain a professional, positive presence.

  • Work independently while keeping management informed of important issues and deadlines.

What We're Looking For

Required Qualifications

  • Bilingual in English and Spanish with the ability to communicate effectively in both languages.

  • High school diploma or GED equivalent.

  • Minimum 2 years of administrative or coordinator experience , preferably in a construction or energy-related environment.

  • Exceptional organizational, written and verbal communication, and prioritization skills.

  • Ability to work autonomously and manage competing priorities.

  • Ability to respond effectively to urgent needs.

  • Professional, mature, and positive demeanor.

  • Ability to build effective working relationships with individuals with diverse personalities and backgrounds.

Computer Skills

  • Proficiency with Microsoft Word and Excel .

  • Knowledge of Microsoft Access .

  • Experience with Oracle is preferred.

The Work Environment

This position supports an active jobsite environment. The role may require standing, walking, typing, reaching, and frequent communication with team members. Employees may occasionally lift or move items weighing up to 50 lbs.

The position may involve exposure to outdoor weather conditions, including extreme heat and cold, as well as occasional wet or humid conditions, mechanical equipment, and airborne particles. The role may also require climbing stairs to and from an office jobsite trailer.

Pay Details: $21.00 per hour
