PDC Operations Coordinator

Position Summary

Salary- $52,732.91 to $62,752.83 annually, depending on experience. MSU Benefits - Free comprehensive health care for you and your family as well as a 10% contribution toward your retirement; Generous sick, vacation, personal and holiday time; Eligible to work a partial remote schedule.

The PDC Operations Coordinator will coordinate with design and project management staff to meet business needs for the Planning, Design, and Construction unit. Their focus will be on preparing, reviewing, and processing various documents, reports, and communications that support PDC's unit operations and capital projects. Additionally, this role will assist with creating and running reports, communicating with stakeholders, maintaining operating procedures, and coordinating meetings and travel. This role serves as a point of contact and coordination for a diverse team of designers, engineers, and architects at PDC.

Essential Job Duties & Responsibilities are as follows:

  • 30% - Maintains, updates, and coordinates project information within Planon, Unifier, and other project management systems. Uploads documents, estimates, schedules, and supporting documentation into project management systems. Maintains project files and documentation in accordance with MSU and PDC standards.

  • 30% - Coordinates the preparation, review, and processing of single source and sole source justifications for professional design services within PDC. Coordinates purchasing activities, procurement documentation, consultant records, contracts, and ordering of project-related materials and services. Coordinates between project teams and stakeholders regularly.

  • 15% - Generates and maintains operational, financial, procurement, and project performance reports related to project planning, design, and construction. Assists with updating standard operating procedures, training materials, and process documentation. Additionally will update department contact lists and project-related emergency contact lists.

  • 15% - Provides administrative and project coordination support to design professionals throughout the project life cycle. Assists with tracking budgets, document preparation, correspondence, and coordination of information among administrators, project stakeholders, and construction teams.

  • 10% - Schedules and coordinates meetings with internal and external stakeholders. Prepares agendas, takes notes, coordinates travel arrangements, assists with conference registrations, and reimbursements for design professionals. Orders office supplies and works with other staff to meet department administrative and operational needs.

Regular attendance is required to meet business and customer needs.

This position will engage in high performing, leading edge practices, valuing people, partners and stewardship.

Minimum Requirements

Knowledge equivalent to that which normally would be acquired through the first two or three years of college, such as an Associate’s degree in a business or construction related field; one to three years of related and progressively more responsible or expansive work experience in performing tasks related to Construction Management, Procurement, or Business Administration; or an equivalent combination of education and experience.

Desired Qualifications

Knowledge of construction project administrative tasks and initiatives. A desire to support and assist a very busy team; proactively able to recognize and act on tasks that need to be done before being asked to do so. An independent self-starter that prefers working in a fast paced team environment and is consistently able to adjust priorities as needed.

A lifelong learner and problem solver with strong technical and communication skills, who focuses on innovative solutions aligned with University goals.
