Job Summary:

RSI is currently seeking a Document Publishing and Records Management Specialist to develop, edit, format, publish, and control corporate and project documents. This position supports desktop publishing, general business editing, records management, and document control activities for materials ranging from formal client and regulatory deliverables to policies, procedures, reports, presentations, forms, letters, and internal communications.

The Specialist works with document owners and subject-matter experts to improve clarity, organization, grammar, consistency, and visual presentation without serving as a technical editor or validating specialized technical content. The role also administers document and records lifecycle controls to help ensure information is accurate, current, traceable, accessible to authorized personnel, appropriately protected, retained, and disposed of in accordance with company, client, contractual, and applicable regulatory requirements.

The ideal candidate is self-directed, highly organized, detail-oriented, and comfortable balancing multiple priorities and deadlines. This individual should be able to follow established requirements, collaborate effectively, exercise sound judgment, and produce polished documents while maintaining disciplined records and document control practices.

Key Responsibilities:

  • Perform desktop publishing and document production using approved templates, styles, and branding.

  • Edit business and administrative content for grammar, spelling, punctuation, clarity, flow, organization, consistency, tone, and readability.

  • Prepare, revise, proofread, format, and publish reports, plans, procedures, policies, proposals, presentations, forms, letters, memoranda, and other corporate or project deliverables.

  • Convert source material into consistent, professional documents and perform final quality checks for formatting, completeness, internal consistency, and compliance with applicable templates and submission requirements.

  • Administer document control processes across the document lifecycle, including document initiation, numbering, template issuance, review coordination, comment resolution, approval, revision, release, distribution, supersession, and archival.

  • Maintain controlled document registers, master lists, revision histories, approval records, distribution records, transmittals, and other documentation needed to establish document status and traceability.

  • Ensure approved documents are stored in designated repositories, available to authorized users, protected from unauthorized change, and clearly distinguished from drafts, obsolete versions, and uncontrolled copies.

  • Support records management throughout the records lifecycle.

  • Maintain records inventories, file plans, retention information, disposition documentation, and audit trails; assist departments and projects with organizing and reconciling electronic and physical record collections.

  • Monitor repositories for duplicate, outdated, misfiled, incomplete, or uncontrolled content and coordinate corrective actions with responsible personnel.

  • Support records searches, audits, assessments, information requests, project closeout, and employee or contract transition activities by locating and compiling complete, reliable documentation.

  • Maintain templates, style guides, job aids, and standardized document production practices; provide user guidance on document control, records management, editing, and desktop publishing expectations.

  • Handle sensitive, proprietary, controlled, or personally identifiable information in accordance with applicable access, marking, storage, transmission, and safeguarding requirements.

  • Coordinate multiple document packages and deadlines while communicating status, risks, missing information, and required actions to document owners and stakeholders.

Requirements and Education:

  • Bachelor's degree in English, communications, journalism, business administration, or a related field.

  • At least three years of relevant professional experience, with three to five years preferred, in desktop publishing, document production, editing, records management, document control, or a closely related function.

  • Demonstrated experience editing nontechnical business documents for grammar, clarity, consistency, organization, tone, and readability.

  • Proficiency with Microsoft Word, PowerPoint, Excel, Outlook, Teams, and SharePoint or comparable document collaboration and repository platforms.

  • Experience applying templates, styles, section formatting, tables, page numbering, headers and footers, tracked changes, comments, and document comparison tools.

  • Working knowledge of document lifecycle controls, revision control, approval workflows, controlled distribution, records inventories, file plans, retention requirements, and authorized disposition.

  • Experience with Adobe Acrobat Pro and desktop publishing or design tools such as Adobe InDesign, Microsoft Publisher, or comparable software.

  • Strong attention to detail, organizational skills, written communication skills, and the ability to manage competing priorities and deadlines.

  • Ability to work independently, follow established procedures, collaborate with personnel at all levels, and protect confidential or controlled information.

Preferred Requirements and Education:

  • Experience supporting environmental, nuclear, engineering, construction, federal contracting, or other regulated work environments.

  • Experience administering electronic document or records management systems and supporting audits, assessments, records searches, or project closeout activities.

  • Familiarity with federal records management principles, document control standards, controlled information requirements, or quality assurance programs.

  • Professional certification or coursework in records and information management, document control, editing, communications, or desktop publishing.
