- The CHAOS Marketing & Communications team is looking for a highly organized, detail-oriented Marketing & Communications Operations Coordinator to help keep our Marketing & Communications (MarCom) team running smoothly and efficiently.
Responsibilities: Team Operations
- Help manage the team's annual and ongoing marketing and communications calendars.
- Coordinate planning for campaigns, events, launches, publications, announcements, and other MarCom activities.
- Maintain shared files, templates, resources, and documentation so information is easy for the team to find and use.
- Help prepare materials for team meetings, planning sessions, leadership updates, and other internal forums.
- Track decisions, action items, and next steps and make sure follow-through happens.
- Look for opportunities to streamline processes, eliminate unnecessary administrative work, and make the team more efficient.
- Become the team's "source of truth" for timelines, deliverables, and operational details.
Vendor & Partner Management
- Serve as a day-to-day point of contact for marketing and communications vendors, agencies, freelancers, and other external partners.
- Coordinate project scopes, timelines, deliverables, meetings, and communications with vendors.
- Track contracts, statements of work, invoices, budgets, and other administrative details in partnership with the appropriate team members.
- Help ensure vendors have the information, assets, feedback, and approvals they need to deliver work on time.
- Maintain organized records of vendor relationships, projects, deliverables, and key contacts.
Project Management
- Manage day-to-day project coordination across the MarCom team, ensuring projects stay on schedule and key milestones and deadlines are clearly tracked.
- Maintain project plans, timelines, calendars, task trackers, and other tools used to keep the team organized.
- Follow up with team members and cross-functional partners on outstanding tasks, deliverables, approvals, and decisions.
- Identify potential delays, gaps, or dependencies early and flag them to the appropriate team member.
- Coordinate meetings, agendas, notes, action items, and follow-ups as needed.
- Help establish and maintain consistent project management processes and ways of working across the team.
- Keep a clear view of what is happening across the MarCom team's portfolio of work and help ensure priorities don't get lost amid competing demands.
Minimum Requirements:
- 2–5 years of experience in marketing, communications, project management, operations, agency, or a related field.
- Proven experience coordinating multiple projects, deadlines, deliverables, stakeholders, and/or vendors simultaneously.
- Exceptional organizational skills and attention to detail; you naturally keep track of the small things and make sure nothing falls through the cracks.
- Strong project management skills, including the ability to build and maintain timelines, track dependencies, manage action items, and follow up on deliverables.
- Highly proactive and self-directed; able to anticipate what needs to happen next rather than waiting to be asked.
- Excellent written and verbal communication skills, with the ability to communicate clearly and professionally with both internal and external stakeholders.
- Strong follow-through and accountability—you take ownership of tasks and see them through to completion.
- Ability to manage competing priorities, shifting deadlines, and multiple workstreams in a fast-paced environment.
- Comfortable working across teams and with people at different levels of an organization.
- Strong vendor and relationship-management skills, with the ability to coordinate external partners and hold them accountable to timelines and deliverables.
- Comfortable working with project management, collaboration, spreadsheet, and marketing tools.
- A process-oriented mindset and an interest in finding ways to make workflows more efficient and effective.
- Resourceful problem-solver who can figure things out, identify gaps, and find solutions with limited direction.
- Interest in marketing and communications and enthusiasm for learning how a high-performing MarCom team operates. Comfortable operating in an entrepreneurial environment where priorities move quickly.
