Responsibilities

Personnel Assistant II (PA II) serves as a personnel-support resource for the assigned program. The position independently processes personnel actions and consolidates workforce information; in addition, the PA II applies a good working knowledge of personnel procedures at NTWL, to include: HCMS transactions and processes, report generation, LOA administration and tracking, and other duties as assigned. The role handles employee-sensitive information and maintains discretion, accuracy, and confidentiality within the organization. This position serves as a clerical expert in independently processing a variety of personnel actions, e.g., supporting temporary employment, rehires, and dismissals. In this position, one may perform tasks beyond routine clericals such as pre-employment, random and full squadron drug screening and new hire orientation, responding to routine questions on policy and procedures, and providing reports on employee turnover or time and attendance. This assistant may be asked to evaluate and consolidate information from various sources under short deadlines and report on program employment statistics (retention, turnover, etc.).

Job Duties:

  • Owns the day-to-day processing and coordination of program personnel transactions in accordance with established procedures, including hires, rehires, transfers, leaves of absence, job and classification changes, temporary assignments, pay-related personnel actions, and separations.

  • Resolves routine employee access and system issues, including password resets, login-credential requests, workflow initiation and follow-up, and data corrections; escalates security, access-control, or non-routine system issues to the appropriate functional owner.

  • Processes, validates, and tracks approved temporary-pay actions, military-pay-differential documentation, UKG earning adders, and related personnel transactions; research pay discrepancies and routes corrections or recommendations to HR, Payroll, Finance, or management as appropriate.

  • Review personnel requests and support documentation for completeness, consistency, and procedural compliance;

  • Use established procedures, guides, and precedents to respond to employee and management questions; refers policy interpretation, employee-relations decisions, and exceptions to the appropriate HR professional.

  • Complete in-processing activities for new hires, including security documentation, orientation, and required forms and notices.

  • Support disciplinary and employee-relations administration by assembling approved documentation, maintaining case and action trackers, coordinating review and signature routing.

  • Research and compile position, wage, and employee information.

  • Maintain, control, and update personnel and related records in accordance with confidentiality, access, and retention requirements.

  • Coordinates random and post-incident drug testing as directed and maintains required documentation.

  • Prepares scheduled and ad hoc reports, including CDRL, manning, and charge code reports, for Corporate functional areas, such as Finance, Accounting, Contracts, Procurement, and Business Development.

  • Support compliance activities involving required postings and training completion.

  • Maintain productive working relationships with employees, management, PMO staff, functional partners and customers.

  • Perform related personnel clerical duties and other job-related duties as assigned, consistent with the position’s classification.

  • Assists with employee travel for detachments and other TDY assignments working closely with the Travel Department

  • Performs other duties and assignments as required.

Qualifications

Education & Experience:

  • Highschool Diploma or equivalent is required

  • 0-3 years of Expereince prefroming clerical-related functions

  • Knowledge of personnel clerical tasks, including working within timesheets, reporting, and human capital management systems.

  • Proficiency with Microsoft Office applications; strong proficiency with Excel formulas, pivot tables, data validation, and report preparation.

  • Strong written and oral communication, organization, and attention to detail.

  • Experience in defense contracting(preferred).

  • The salary range provided is intended to display the value of the company’s base pay compensation for locations in the state of Maryland and may be modified at the discretion of the company.

  • Maryland Salary Range:

  • USD $38.00
