Full job description

SPECIALIST, LICENSING

About Carvana At Carvana, we’re changing the way people buy and sell cars. With an ambitious vision and a fundamentally different approach designed to be fun, fast, and fair, Carvana became the fastest-growing automotive retailer in history. We expanded nationally, went public on the New York Stock Exchange, sold our 1 millionth car, and reached the Fortune 500, all in just eight years.

Today, with 4 million retail customers and counting, Carvana is both the fastest-growing and the most profitable public automotive retailer — and we’re just getting started. Working here means being part of a team that embraces change, celebrates creative problem solving, and always strives to be better. If you’re driven to grow and make an impact as part of a collaborative team, you’ll fit right in.

About the team and position We're looking for a Licensing Specialist to join Carvana's Dealer Compliance & Operations (DCO) Licensing Team. The Licensing Team is responsible for obtaining the regulatory licenses that let Carvana operate at reconditioning, retail, auction, and distribution sites nationwide. The Specialist will work closely with Carvana's real estate, legal, and tax teams to keep projects, tasks, and workflow organized, efficient, and effective — multitasking, organizing, and distilling relevant information are necessary skills, along with strong communication, project implementation, and task-management skills. This individual must be able to prioritize and re-prioritize work across multiple projects, which may vary in size and scope, as needed to support the team’s ambitious efforts. The Specialist will be expected to communicate directly with city, county and state regulators. Your contributions will have a tangible impact within a blitz-scaling national real estate roll-out in a game changing company.

What you’ll be doing

  • Support the licensing team, keeping information and processes coordinated, and projects organized while obtaining results aligned with stated objectives.

  • Own the renewal calendar. Manage renewals for licenses, registrations, tax certificates, and trade name filings across all entities. Start each renewal 90 days ahead of its due date, confirm the renewed document has been received, and update the team’s tracking.

  • Research, prepare, and submit applications for new ancillary licenses and registrations, such as business licenses, sales tax certificates, and county trade name filings, for multiple entities.

  • Watch for anything that could affect a target date. As soon as you notice something, involve your manager or the right team, even if you don’t yet have a solution. If you see options or a recommended next step, share them, and the team will work through it together.

  • Spot, recommend, and execute process enhancements that create team efficiencies and desired results. Conceive and execute process improvements within licensing.

  • Independently manage your queue of licensing tasks. Keep your tasks, files, target dates, and statuses current in the team’s tracking tools, and give your manager regular updates so follow-up questions are rarely needed.

  • Support project management efforts by tracking progress, deliverables, target dates, and statuses, and communicating on these items to appropriate parties. Effectively execute on the next steps based on the information and guidance provided.

  • Create, use, and maintain the documents, resources, and applications that help the team organize, track, and communicate about projects and processes, including filings, confirmations, and payment records.

  • Develop a solid understanding of licensing processes, roles within the team, and how to support day-to-day efforts.

What you should know

  • An Associate's or Bachelor’s degree from an accredited institution.

  • 3+ years experience working in a corporate/office environment in an administrative or similar role.

  • Demonstrated proficiency in project management, organizational and time-management responsibilities with ability to identify specific goals (and to work collaboratively within a team to accomplish those goals).

  • Effective communication skills with ability to build relationships with internal peers, executive level internal management, external vendors, and state and county government personnel.

  • Demonstrated proficiency in and aptitude for project, file and task tracking and anticipating next steps.

  • Initiative and desire to independently complete tasks that enable greater team efficiencies and results.

  • Strong initiative and ability to use creative problem solving skills to address support and process needs within a team.

  • Demonstrated knowledge of Microsoft Office products, and aptitude for project management tools and software.

  • Demonstrated knowledge of AI tools, with the ability to leverage AI resources responsibly to simplify tasks.

We’d love it if you also have

  • Experience in licensing, titles, compliance , or legal field(s).

  • Experience dealing with state or municipal agencies.

  • Experience managing business licenses, tax registrations, or similar compliance filings.

  • Experience with Google Workspace products (Google Docs, Sheets, etc.).

What we’ll offer in return

  • Full-Time Hourly Position.

  • Medical, Dental, and Vision benefits.

  • 401K with company match.

  • A multitude of perks including student loan payments, discounts on vehicles, benefits for your pets, and much more..

  • A great wellness program to keep you healthy and happy both physically and mentally.

  • Access to opportunities to expand your skill set and share your knowledge with others across the organization.

  • A company culture focused on high performance and bar-raising, with vast opportunities to learn and grow.

Other requirements To be able to do your job at Carvana, there are some basic requirements we want to share with you.

  • Must be able to read, write, speak and understand English.
