The Sponsorship Coordinator serves as a primary resource and point of contact for students, university personnel, and sponsors, providing clear guidance on sponsorship procedures, account activity, and payment requirements. The incumbent interprets and applies university policies, applicable state and federal regulations, and sponsorship requirements, exercising sound judgment in researching and resolving account discrepancies.

The successful candidate will also identify and contribute to process improvements that enhance accuracy, efficiency, and service delivery while supporting the broader operations of the Office of Student Accounts.

Duties and Responsibilities include:

  • Provide guidance to students, sponsors, and university staff regarding program requirements, account activity, and established policies and procedures.

  • Research and resolve sponsorship payment discrepancies, including underpayments, overpayments, and denied or reduced sponsorships.

  • Monitor and reconcile assigned sponsorship accounts throughout the billing cycle to identify outstanding authorizations, unpaid invoices, account discrepancies, expiring or incomplete documentation, and other issues requiring follow-up. Ensure necessary corrections and account adjustments are completed in a timely manner.

  • Coordinate with colleagues to resolve complex student account issues involving sponsorships, tuition assistance, financial aid, registration activity, refunds, and other account adjustments.

  • Maintain accurate sponsorship and account documentation within university systems and ensure records are sufficient to support billing, reconciliation, audit, and institutional reporting requirements.

  • Establish and maintain effective working relationships with third-party sponsors and university departments to facilitate timely authorization, billing, payment, and resolution of account issues.

  • Support the implementation of new sponsorship programs, sponsor arrangements, system enhancements, and Student Accounts initiatives, including reviewing operational requirements and assisting with the development of appropriate procedures.

  • Provide direct customer service to students and other stakeholders by participating in the Student Accounts phone queue and managing the department email account.

Job Requirements:

  • Minimum of three (3) years of professional experience in higher education, banking, insurance, medical billing or other accounting-related fields.

  • Demonstrated ability to maintain a high degree of accuracy and attention to detail when reviewing, processing, and reconciling financial account-related information.

  • Ability to work independently while also collaborating effectively as part of a team.

  • Demonstrated ability to work effectively in a fast-paced environment managing multiple competing priorities, while maintaining accuracy and quality.

  • Proficiency in Microsoft Office applications, particularly Word, Excel and Outlook.

  • Excellent and effective organizational, time management, and customer service skills.
