Description

Job Summary:

The Underground Construction Coordinator supports the planning and execution of work assigned to Greenlight Networks' internal directional drill crews and contractors. The role maintains a reliable project pipeline, confirms that upcoming work is ready for construction, assists with accurate production reporting, coordinates solutions for damage to underground infrastructure, and helps ensure project materials are ordered and delivered when needed.

This position works closely with the Senior Manager of Underground Construction and Maintenance, field foremen, internal support teams, and approved contractors. Success requires proactive follow-through, strong organization, clear communication, and the ability to keep several moving priorities on track. This is a coordination role and does not directly manage field employees.

Essential Functions:

  • Maintain a current project pipeline for internal directional drill crews, clearly identifying active, next-up, and future projects.

  • Track project milestones and readiness items, including target start dates, assigned crews or foremen, planned footage, permits, utility locates, construction prints, materials, restoration needs, and known blockers.

  • Confirm that upcoming projects are ready for field execution by following up with the appropriate teams and escalating missing information, materials, or approvals to the Senior Manager.

  • Support the approved crew schedule and communicate project priorities, schedule changes, and readiness concerns to foremen and affected stakeholders.

  • Collect and compile daily and weekly production information from internal crews, including footage completed, crew days worked, downtime, mobilization, restoration activity, and issues affecting production.

  • Review submitted information for completeness and accuracy, follow up on missing or inconsistent entries, and keep production trackers and dashboards current.

  • Maintain organized project records and assist with redlines, as-built information, closeout documentation, and submission of completed records to the appropriate teams.

  • Serve as the coordination point for reported damage to Greenlight Networks' underground infrastructure under the direction of the Senior Manager.

  • Gather the information needed to evaluate the issue, including location, type and extent of damage, service impact, photos, prints, site conditions, and safety concerns.

  • Coordinate the repair response with an internal crew or approved contractor based on urgency, location, scope, availability, and management direction.

  • Communicate the repair schedule and status to affected internal teams, track the work through completion, and confirm that required closeout information is received.

  • Maintain a damage log and supporting documentation, including repair records, photos, contractor information, and costs when applicable.

  • Review project plans and anticipated material needs with the Senior Manager and field foremen before scheduled construction begins.

  • Coordinate material requests and orders, confirm quantities and project allocations, and provide the required information to procurement and warehouse personnel.

  • Track order status, lead times, delivery dates, shortages, backorders, and substitutions to help ensure materials arrive before the planned project start.

  • Communicate delivery changes or material risks early and work with the appropriate teams to identify practical alternatives.

  • Verify deliveries and project allocations, document discrepancies, and coordinate transfers or material pickups when needed.

  • Coordinate landscaping and restoration contractors for completed underground work and track open restoration items through completion.

  • Assist with vehicle and equipment service logistics, including transporting company vehicles for repairs or maintenance when needed.

  • Pick up materials, parts, or project supplies when required to support field operations.

  • Participate in project meetings, field visits, and coordination calls; document decisions and follow up on assigned action items.

  • Work collaboratively with Construction, Engineering/GIS, Permitting, Procurement/Warehouse, Fleet, Safety, and other departments involved in underground projects.

  • Perform other underground construction coordination duties consistent with the purpose and scope of the position.

Knowledge, Skills and Abilities Required:

  • Strong organizational and time-management skills, with the ability to manage multiple projects and deadlines at the same time.

  • High attention to detail and a consistent commitment to accurate reporting and recordkeeping.

  • Clear written and verbal communication skills, including the ability to coordinate information between office teams, field crews, vendors, and contractors.

  • Working proficiency with Microsoft 365 applications, particularly Outlook and Excel, and the ability to learn company tracking, work-management, and GIS systems.

  • Valid driver's license and an acceptable driving record for company-related travel and vehicle operation.

  • Ability to work independently, follow through on open items, recognize developing problems, and escalate issues appropriately.

Education & Experience:

  • High school diploma or equivalent.

  • Two or more years of experience in construction coordination, utilities, telecommunications, project support, dispatch/logistics, or a related operations role. (Preferred)

  • Familiarity with underground utility construction, directional drilling, fiber-optic construction, or outside-plant operations.

  • Experience with project scheduling, contractor coordination, material tracking, production reporting, construction prints, GIS maps, or redline documentation.
