Full job description

Description We are looking for a Payroll Specialist to support accurate and timely payroll operations for a fast-paced, multi-entity environment in Kansas City, Missouri. This position plays an important role in ensuring employees are paid correctly each week while meeting certified payroll and prevailing wage obligations across active projects. The ideal candidate brings strong payroll processing experience, excellent attention to detail, and the ability to work closely with operations and project stakeholders to resolve issues efficiently.

Responsibilities:

  • Manage end-to-end weekly payroll processing for multiple business entities, ensuring each payroll cycle is completed accurately and on schedule.

  • Review imported time records, investigate discrepancies, and confirm hours, job assignments, and cost coding align with supporting totals before payroll is finalized.

  • Maintain payroll data such as earnings, deductions, benefit elections, garnishments, stipends, and pay differentials with a high level of precision.

  • Process special payroll transactions, including manual payments, off-cycle runs, and adjustments needed to correct prior payroll issues.

  • Prepare and submit certified payroll documentation, including WH-347 and related state forms, in accordance with Davis-Bacon and prevailing wage requirements.

  • Verify proper wage rates, fringe allocations, and labor classifications based on project specifications and jurisdictional rules.

  • Support labor compliance reporting through AASHTOWare and other required agency or contractor portals, and provide documentation during audits or inquiries.

  • Perform regular payroll reconciliations to validate changes in pay rates, hours, deductions, taxes, and related liabilities against source records and control reports.

  • Maintain accurate employee, project, rate, and deduction records across payroll and operational systems, while contributing to process documentation as additional entities are brought into shared service workflows. Requirements • At least 3 years of experience managing full-cycle payroll, preferably within construction, multi-entity, or prevailing wage environments.

  • Working knowledge of certified payroll reporting, Davis-Bacon regulations, prevailing wage requirements, and multi-state payroll practices.

  • Experience using payroll systems such as ADP Workforce Now, Vista by Viewpoint, or similar platforms, with strong Excel skills for reconciliations and data analysis.

  • Ability to process payroll for a workforce of more than 500 employees while maintaining accuracy under recurring deadlines.

  • Practical experience handling garnishments, deductions, tax withholdings, and payroll corrections.

  • Strong attention to detail with the ability to identify discrepancies, reconcile payroll data, and resolve issues before final submission.

  • Effective communication skills and the ability to collaborate with field teams, project staff, and HR partners with careful attention to detail.
