Full job description

Description

We are looking for a Payroll Specialist to support a Contract assignment based in Roseville, Minnesota. This role will manage end-to-end payroll operations for a large, multi-state employee population while helping maintain accuracy, compliance, and strong internal service. The ideal candidate brings hands-on payroll expertise, strong attention to detail, and the ability to work closely with HR, benefits, and accounting teams in a fast-paced environment.

Responsibilities:

  • Administer weekly payroll for employees across multiple states, ensuring each cycle is completed accurately, on schedule, and in accordance with applicable regulations and company standards.

  • Conduct thorough payroll audits before and after processing to identify and correct issues related to earnings, taxes, benefit deductions, garnishments, and other payroll transactions.

  • Update and maintain employee payroll records, including required and voluntary deductions such as health coverage, retirement contributions, and court-ordered withholdings.

  • Collaborate with Human Resources and Benefits teams to ensure employee status changes, compensation updates, and deduction changes are reflected correctly in payroll.

  • Respond to payroll-related questions from employees and managers, providing timely resolution and clear guidance on pay, deductions, and related matters.

  • Oversee payroll tax activity across federal, state, and local jurisdictions, including tracking notices, coordinating issue resolution, and supporting compliance efforts with external providers and agencies.

  • Review quarterly filings, year-end tax documents, and W-2 information for accuracy and completeness, and assist with annual payroll close activities.

  • Prepare payroll-related journal entries and support reconciliations for payroll bank accounts, general ledger balances, liabilities, and deduction accounts, resolving discrepancies promptly.

  • Produce recurring and special payroll reports for leadership and provide documentation needed for audits, financial reporting, workers’ compensation reviews, and retirement plan audits.

Requirements • Demonstrated experience processing full-cycle payroll for a workforce of 500 or more employees.

  • Strong knowledge of multi-state payroll practices, including payroll tax requirements across various jurisdictions.

  • Hands-on experience with payroll systems such as ADP Workforce Now or comparable platforms.

  • Ability to review payroll data with precision and resolve discrepancies involving pay, taxes, deductions, and garnishments.

  • Working knowledge of payroll accounting, including journal entries, reconciliations, and payroll-related general ledger activity.

  • Experience partnering with HR, benefits, and accounting teams to support accurate payroll administration.

  • Strong communication skills with the ability to address employee and manager payroll inquiries professionally and efficiently.
