A Brief Overview

The Marketing Traffic Specialist manages the day-to-day flow of creative and marketing projects from intake through delivery, helping ensure that all marketing materials are completed on time, accurately and cost-effectively. Working closely with the Marketing Operations Manager, internal team, stakeholders and vendors, this role's primary focus is coordinating project plans, establishing clear milestones, tracking progress, supporting resource allocation and identifying potential risks. Success in this role requires strong organizational skills, attention to detail, collaboration and the ability to communicate clearly with team members, internal partners, external media vendors and print partners.

What you will do

  • Manage the intake and trafficking of multiple campaigns and projects of varying size and complexity using the department’s project management software. Maintain schedules and deadlines, coordinate assignments, balance resources, track progress, communicate status updates and identify and resolve issues that may affect delivery.

  • Coordinate the production and delivery of creative, print, digital, templated, and campaign materials. Help ensure deliverables are completed on time, accurately, cost-effectively and in accordance with brand and quality standards.

  • Lead or participate in production and cross-functional status meetings. Clearly communicate project priorities, workload, timelines and risks. Possess the ability to address a variety of requests and propose viable solutions as necessary.

  • Serve as a liaison between partners, internal team, media vendors and print partners to ensure timeliness and high quality of end product. Obtain time and cost estimates for projects when requested. Provide support with invoicing to ensure accurate cost recording.

  • Support the organization and maintenance of marketing assets within the digital asset management system. Assist with folder structures, naming conventions, timely asset uploads, user access and education on best practices.

  • Coordinate with translation vendors and internal stakeholders to support the accurate and timely translation of marketing materials. Track submissions, reviews, approvals, and final translated assets.

  • Maintain accurate and accessible records of active and completed projects, including final materials, timelines, costs, approvals and key decisions. Respond to questions about previous materials and campaigns and provide updated information when programs, requirements or specifications have changed. Requires top of mind knowledge on all elements of marketing production.

Essential Qualifications

Preferred Education, License/Certification, or Work Experience:

  • Bachelor's in marketing or related field.

  • 1-3 years Experience leading project management, production workflow, traffic management, business processes, or procurement

  • Knowledge of Adobe CS knowledge Print Production.

  • 1-3 years Experience working within a large, diverse, cross-functional team or health care environment

  • 1-3 years Experience with project management software, digital asset management platforms, print production processes, vendor management, and/or budget support
