Full job description
Description We are looking for a detail-focused Administrative Coordinator to support construction-related projects in Laurel, Maryland. This Contract position is well suited for someone who thrives in a fast-paced setting, keeps documentation organized, and helps ensure project activities stay on schedule. The person in this role will provide day-to-day administrative coordination, maintain accurate records, and work closely with internal teams and external partners to keep critical information current and complete.
Responsibilities:

Maintain organized project files, correspondence, and records so documentation is easy to access and current throughout each phase of work.

Update spreadsheets, logs, and internal tracking tools with project details, status changes, and required follow-up items.

Monitor timelines for bids, document submissions, and other key milestones, and alert the team to approaching deadlines.

Prepare and process construction-related paperwork, including submittal packages and supporting project documents.

Request, collect, and track required materials from subcontractors and general contractors to help keep projects moving forward.

Provide administrative assistance related to payroll and prevailing wage documentation, ensuring records are complete and properly filed.

Support the preparation of bid packages and assemble documentation needed for upcoming project opportunities.

Assist the team with general office coordination, scheduling, and other administrative tasks tied to active construction projects. Requirements • Prior experience in administration, project support, or a construction office environment is preferred.

Strong ability to organize large volumes of information while maintaining accuracy and attention to detail.

Proficiency with Microsoft Office applications, especially Excel, for tracking and maintaining project data.

Demonstrated skill in managing multiple deadlines and shifting priorities in a busy work environment.

Clear and detail-focused communication skills when working with internal staff, subcontractors, and general contractors.

Ability to work independently, follow through on open items, and handle responsibilities in a dependable manner.
