Our client, a global commercial real estate and facilities management leader, is seeking a Facilities Specialist to join their team. As a Facilities Specialist, you will be part of the Workplace Experience & Facilities Operations team supporting two office locations in Connecticut. This role is focused primarily on facilities coordination, vendor management, workplace operations, work order management, and client support. The ideal candidate will have strong vendor coordination experience, excellent customer service skills, and the ability to independently manage multiple priorities while maintaining strong client relationships. Candidates are not expected to perform skilled HVAC, plumbing, or electrical repairs but should be comfortable coordinating service providers, monitoring work completion, conducting facility walkthroughs, and supporting day-to-day facility operations.

Pay Range: $28/hour
Duration: 3-Month Contract (Potential Extension)
Schedule: Monday-Friday, 6:00 AM - 2:00 PM
Work Arrangement: 100% Onsite
What's the Job?

Serve as the primary point of contact for facility operations across multiple office locations, ensuring a positive workplace experience for clients and employees.

Coordinate and manage vendors, contractors, and service providers to ensure work is completed accurately, efficiently, and on schedule.

Monitor, track, and drive work orders to completion while proactively communicating updates and resolving issues.

Build and maintain strong relationships with clients, stakeholders, and internal teams through responsive communication and exceptional customer service.

Conduct facility walkthroughs and site inspections to identify issues, coordinate repairs, monitor vendor performance, and ensure facilities remain safe, functional, and well-maintained.

Support workplace services, occupancy needs, office operations, and day-to-day facilities activities across multiple locations.

Partner with maintenance vendors and technical service providers to coordinate preventive maintenance and repair activities.

Escalate facility issues appropriately and ensure vendors are engaged and monitored through successful completion of work.

Assist with workplace initiatives, employee requests, and general facility-related projects as needed.

Maintain accurate records of work orders, service requests, inspections, and vendor activities.
What's Needed?

2-4 years of experience in facilities management, workplace services, property management, operations, construction coordination, or a related field.

Experience coordinating vendors, contractors, maintenance providers, or third-party service providers.

Strong work order management, organizational, and problem-solving abilities.

Excellent verbal and written communication skills with the ability to interact professionally with clients, vendors, and stakeholders.

Experience managing multiple priorities and supporting multiple locations simultaneously.

Ability to identify facility-related issues and coordinate the appropriate vendor or service provider for resolution.

Comfortable performing facility walkthroughs, quality checks, and operational inspections.

Strong customer service mindset and ability to build positive working relationships.

Proficiency with work order systems, facilities software, property management platforms, or similar tools is preferred.

Prior exposure to building systems such as HVAC, plumbing, electrical, fire/life safety, or mechanical systems is helpful; however, hands-on maintenance, troubleshooting, or repair experience is not required.

Ability to work independently while collaborating effectively with internal and external stakeholders.
