Full job description

The Program Management Office (PMO) at Zoox supports some of the company's most complex, cross-functional decisions and programs. When needed, members of the PMO will roll up their sleeves and work hand in hand with engineering and operations to solve issues that arise.

We pride ourselves on our ability to take complexity and translate that into meaningful actions and high-quality, timely decisions. We have a strong track record of helping the organization execute more effectively across a number of different programs and initiatives. We do this through clear thinking, problem-solving, implementing improved operational measures, and influencing and coaching tactics.

The PMO Processes & Tools Senior Program Manager will take end-to-end responsibility for defining and rolling out new program management processes and tools, or making improvements to existing ones.

In this role, you will:

  • Own PMO Processes and Tools end-to-end: Manage the full lifecycle to deliver new PMO processes and tools (or improve existing ones), including requirements gathering, process definition and documentation, tool configuration, integration in the broader process and tool ecosystem, user training, rollout, enforcement, and when necessary, retirement.

  • Artificial Intelligence: Leverage AI tools to accelerate your day-to-day work, and build applications and dashboards that support processes. Identify and realize opportunities to embed AI agents in the processes and tools that we own in order to reduce the burden on our users or provide them with new insights.

  • Stakeholder Management: Act as a primary point of contact between PMO, IT, and engineering/operations stakeholders to ensure project objectives are aligned, and a shared understanding of requirements is maintained.

  • Tool Expertise & Support: Serve as a subject matter expert for our core PMO tools (e.g., Jira, Confluence, Structure, Rich Filters, etc.), providing guidance, developing best practices, and creating user documentation.

  • Planning, Reporting & Communication: Establish project plans, track progress against milestones, identify and manage issues and risks, and provide clear, concise status updates to leadership and stakeholders.

Qualifications:

  • Bachelor's degree, preferably in a technology-related field.

  • 10+ years of professional experience, with 5+ years of experience in technical project or program management, with a focus on systems and tools implementation.

  • Experience with both waterfall and agile product development lifecycles, and associated enterprise-level project management software such as Jira, Confluence, Structure, or similar platforms.

  • Familiarity with configuring automations within PM tools (e.g., Jira automations or AI agent embedding), and with leveraging AI tools (Gemini, Claude, etc.) to develop new processes, training content, dashboards, apps, etc.

  • Comfortable with ambiguity and with owning several processes, tools and stakeholder groups at once, shifting between them as priorities change.

  • Excellent communication and interpersonal skills, with a demonstrated ability to influence senior stakeholders and drive consensus.

  • Strong analytical and problem-solving skills, with a talent for translating business needs into technical requirements and elegant solutions.

Bonus Qualifications

  • Experience working in a fast-paced hardware and software development environment (e.g., robotics, automotive, aerospace, or consumer electronics).

  • Scaled Agile, hybrid agile, or integrated master scheduling experience with a proven ability to drive alignment and delivery across multiple teams and portfolios.

  • Familiarity with scripting automations for, and integrations with PM tools.

  • Experience managing large-scale tool migrations or enterprise system integrations.
