About CBRE and Experience Services:
CBRE is the world's largest commercial real estate services firm. Experience by Industrious is CBRE’s global hospitality business that partners with leading companies and landlords to design and operate workplaces people love coming to. We treat the daily experience of work as a product worth obsessing over, and we build our teams with people who feel the same way.
About the Role:
As a CBRE Workplace Experience Senior Coordinator, you will help create an exceptional workplace experience through welcoming hospitality, seamless daily operations, and thoughtfully executed events. The role sits at the front desk and will serve as the primary welcoming point for everyone entering the office. You’ll be a central point of contact for employees and visitors, taking ownership of reception, shared-space readiness, and a variety of workplace needs.
We’re looking for someone who thrives on a small, agile team and has experience wearing multiple hats with confidence, discretion, and finesse. Experience in a startup or similarly fast-moving environment is especially valuable, along with the ability to bring structure to changing priorities and move comfortably between guest-facing service and behind-the-scenes coordination.
You will partner closely with Workplace Experience, Meeting & Events, Security, IT/AV, Facilities, and external vendors to anticipate needs, coordinate logistics, and resolve issues quickly and professionally.
What You’ll Do
- Serve as the primary front desk presence and a primary point of contact for employees,
event hosts, clients, visitors, and vendors, providing white-glove hospitality and
coordinating coverage to maintain a consistent reception experience.
- Partner with the Meeting & Events team on event details, timelines, staffing plans, and
day-of adjustments.
- Manage guest registration needs, visitor passes, nametags, tabletents, signage,
check-in flows, and escorting for large external groups in partnership with Security.
- Liaise with IT/AV teams to confirm technical requirements, troubleshoot issues, and
support presentations or hybrid meeting needs during events.
- Capture feedback, identify process improvements, and share recommendations that
improve the employee and guest event experience.
- Manage multiple workplace and event requests simultaneously, balancing competing
priorities with attention to detail, clear communication, and consistent follow-through.
- Support a lean Workplace Experience team by adapting to changing priorities and
stepping in to assist with reception, workplace services, and event needs.
- Seek feedback, ask thoughtful questions, and apply learning to strengthen hospitality,
workplace operations, and event execution.
- Cultivate strong relationships with employees and team members to create a welcoming
and personalized workplace experience
What You Need:
Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future
-
High School Diploma or GED with 4 years of job-related experience, preferably in workplace experience, hospitality, events, facilities, reception, or customer service.
-
Safeguard highly sensitive and classified information, ensuring strict confidentiality and discretion across all communications and operations.
-
Strong communication skills with the ability to exchange clear information, set expectations, and work professionally with employees, guests, stakeholders, vendors, and building partners.
-
Strong organizational skills, high attention to detail, and the ability to manage multiple workplace and event priorities in a fast-paced environment, with consistent follow-through from request to completion.
-
Ability to follow site procedures while using sound judgment to resolve issues, escalate risks, and keep events moving smoothly.
-
Working knowledge of Google Docs, Google Sheets, and Slack. Experience with Jira, room booking tools, or basic AV coordination is helpful.
-
A proactive, hospitality-focused approach with a strong sense of ownership, a willingness to ask questions and seek feedback and an interest in growing into greater event planning and execution responsibilities.
- Why CBRE? A culture of respect, integrity, service, and excellence crafts our approach to every opportunity
