Full job description

Relocation Specialist, focusing on CB Realty Web Lead operations, is responsible for the end-to-end management of web-generated real estate leads and referral opportunities, ensuring timely assignment, data accuracy, operational efficiency, and exceptional service for agents, customers, and business partners. This is critical in the success of business outcomes through lead conversion.

Key Responsibilities include, but are not limited to:

  • Referral Management: Manage the full lifecycle of web leads and referrals from intake through resolution, ensuring systematic lead flow and database accuracy.Qualify/assign referrals outside of brokerage footprint to appropriate parties.

  • Agent Assignment: Review, prioritize, route, and assign leads based on customer needs, coverage requirements, and business guidelines.Monitor lead activity and resolve stalled, misrouted, or unassigned opportunities.Route referrals to the most qualified agent to assist customers in successfully completing their real estate transactions.Reassign halted referrals as appropriate.

  • Data Entry: Complete any necessary entry related to the referral.Identify and implement process improvements, leveraging technology and AI tools to increase efficiency

  • Transaction management:

  • Communication: Maintain regular communication with Web Lead Directors for transaction/agent needs.Support agents, customers, and internal stakeholders through timely communication and issue resolution.

  • Monitoring/Follow up: Monitor all communications from agents and clients, manage information accordingly, and follow up on open or overdue items.Manage lead generation communications, follow-ups, and operational workflow tracking.Maintain accurate lead, referral, and transaction data across multiple systems.

  • Issue Resolution: Address any signs of concern by reaching out to resolve issues or take corrective action.

  • Contract Management: Ensure system accuracy with critical milestone data and generate appropriate documentation for pending/sale data.

  • Closing Coordination: Ensure all closing-related information is shared with all parties.

  • Data Integrity: Maintain and validate data integrity in all systems.Conduct audits and resolve reporting discrepancies.

  • Reporting: Generate and analyze reports to monitor lead activity, responsiveness, and performance.

Requirements:

  • High School Diploma or equivalent.

  • Two or more years of experience in a customer-centric business environment with administrative responsibilities.

  • One or more years of experience in the relocation or real estate industry (preferred but not required).

  • Proficiency in Microsoft Office (Word, Excel, Outlook).

  • Excellent data entry skills with strong attention to detail.

  • Ability to work well under pressure with excellent organizational skills.

  • Strong interpersonal skills to interact successfully with internal and external customers at all levels.

  • Flexibility to work shifts accommodating clients in various time zones and weekends as required.

  • Professional verbal and written communication skills.

  • Creative problem-solving abilities.
