Scholarship / Institutional Student Loan (ISL) Coordinator

Position Summary

The Scholarship / Institutional Student Loan (ISL) Coordinator supports the effective administration of institutional scholarships, student loan programs, and related initiatives. This position is responsible for coordinating scholarship and Institutional Student Loan processing, maintaining accurate student aid records, managing program documentation and reporting, and ensuring awards and related transactions are processed accurately and within established timelines.

The Coordinator serves as a key point of contact for students and collaborates closely with Admissions, Financial Aid, and other institutional partners to resolve scholarship and loan-related matters. The role requires a high degree of accuracy, discretion, organization, and sound judgment, as well as the ability to provide compassionate and professional support to students navigating sensitive financial circumstances.

The Scholarship / ISL Coordinator reports to the Director, ISFA.

Essential Duties and Responsibilities

Scholarship Administration

  • Coordinate the processing and administration of institutional scholarship programs, ensuring awards are accurately entered, reviewed, and posted within established timelines.

  • Collaborate with the Scholarship Team to facilitate the timely implementation and posting of new scholarship awards.

  • Process and review clinical student scholarship awards and other designated institutional scholarships.

  • Review, process, document, and maintain records for multiple scholarship programs.

  • Process and post waivers and other assigned institutional awards or benefits.

  • Prepare scholarship award letters and other student communications, ensuring documentation is distributed to students and maintained appropriately in OnBase.

  • Review scholarship information and student records for accuracy and resolve discrepancies or outstanding requirements as needed.

Institutional Student Loan Administration

  • Coordinate Institutional Student Loan (ISL) processing, including award posting, updates, documentation, and ongoing record maintenance.

  • Maintain accurate and complete electronic ISL documentation and records.

  • Maintain ISL tracking spreadsheets and reports to support program administration, reconciliation, and follow-up activities.

  • Monitor outstanding ISL requirements and proactively communicate with students regarding missing or incomplete information.

  • Serve as a liaison between ISL servicers and the University.

  • Identify and resolve discrepancies in ISL records in collaboration with students, staff, and other institutional stakeholders.

Student Financial Aid Counseling & Support

  • Serve as a designated Counselor for Grenadian students, providing individualized guidance regarding financial aid programs, requirements, processes, and available resources.

  • Administer the Grenadian Additional Benefit Program, including processing, documentation, student communication, and related program activities.

  • Provide accurate, timely, professional, and courteous assistance to students regarding scholarships, institutional loans, and assigned financial aid programs.

  • Communicate complex financial aid information and requirements clearly to students and assist them in understanding required actions and next steps.

  • Approach financially sensitive student matters with professionalism, discretion, compassion, and respect.

Data, Reporting & Records Management

  • Maintain accurate scholarship and ISL data within Banner, OnBase, Excel, and other institutional systems.

  • Manage program tracking reports and spreadsheets to monitor processing status, outstanding requirements, and completion of assigned activities.

  • Review data and documentation for accuracy, completeness, and consistency and take appropriate action to resolve identified discrepancies.

  • Maintain confidential student financial aid information in accordance with institutional policies, applicable regulations, and established records-management practices.

  • Support reporting, reconciliation, and data-quality initiatives related to assigned scholarship and loan programs.

Departmental & Cross-Functional Support

  • Collaborate with Admissions, Financial Aid colleagues, and other institutional departments to support effective scholarship and student loan administration.

  • Participate in student-facing initiatives, including admissions events, webinars, and other financial aid outreach activities as needed.

  • Provide administrative and operational support for departmental initiatives, particularly during peak processing periods.

  • Contribute to process improvements that enhance accuracy, efficiency, student service, and the timely delivery of financial aid.

  • Perform other related duties and responsibilities as assigned.

Other Duties

  • Provide coverage for ISFA functions as needed to ensure uninterrupted service to applicants, students, staff and other stakeholders

  • Perform other duties and special projects assigned by leadership

  • Ability to communicate effectively with students from diverse backgrounds and across multiple time zones.

  • Proficiency with Microsoft Excel and Office 365; experience with Banner, OnBase, or comparable student information/document management systems preferred.

Minimum Qualifications

  • Bachelor’s degree from an accredited institution.

  • Demonstrated proficiency with Microsoft Excel and Microsoft Office 365.

  • Strong organizational, communication, customer service, and data-management skills.

Preferred Qualifications

  • One or more years of experience in financial aid, student financial services, higher education, or a related field.

  • Experience administering scholarships, institutional loans, or other student financial assistance programs.

  • Experience working with Banner and OnBase or comparable higher education systems.

  • Experience providing direct financial counseling or student support.

Work Schedule & Travel

  • Standard work schedule, Monday through Friday, generally 9:00 a.m. to 5:00 p.m.

  • Must have the flexibility to work occasional evenings and weekends during peak periods, student events, or other institutional initiatives.

  • Flexibility may be required to accommodate students located across multiple time zones.

  • Occasional travel may be required to support admissions events, webinars, student-facing programs, and other key institutional initiatives.

The anticipated salary range for this position is $47,600 to $56,000 per year. The final salary offered may vary and will be determined based on factors such as job-related knowledge, skills, experience, location, and education of the successful candidate. This information is provided per local law.
