Budget Title: Senior Staff Assistant (SL-3)

Salary: $57,151

This position will support the general administrative needs of the Judaic Studies Department as well as direct the new Program in Public Leadership and assist in providing support to the Center for Israel Studies. Duties include developing and managing the internship program, record keeping, budgeting and purchasing, event organization support, office space management, coordinating visiting scholars, processing HR and travel paperwork, supervising staff, managing communications with students, faculty, and the community.

Department Administration Responsibilities:

  • Assist the Chair in the planning and general administration of processes and procedures to continue a successful running department.

  • Manage various Departmental financial accounts and funding sources, handle department purchases and funds transfers, track revenues/expenses, assist in developing the budget, and prepare financial reporting.

  • Process department travel and reimbursement paperwork, keep up to date with all travel regulations and procedures.

  • Coordinate and assist with Personnel cases, new faculty hires, and all other HR paperwork for the Department.

  • Coordinate Departmental events and promotional efforts with committee members and departmental staff.

  • Support Director of Undergraduate Studies and help students with registration, declaring major/minor, and organizing payment of scholarships and department funded internships.

  • Responsible for Departmental space, furnishing, equipment, computer software and facilities management to include putting in work orders; overseeing department equipment and computer inventory; coordinating keys and key card access.

  • Supervise the management of the department Google Drive, website, Listservs, mailing lists.

  • Hire and supervise department staff and Federal College Work Study students.

Program in Public Leadership Responsibilities:

  • Build relationships and coordinate with host agencies/organizations.

  • Coordinate with on-campus partners (Admissions, the Fleishman Center, Harpur Advising, and CCE) and alumni.

  • Manage and coordinate with 4+1 partners (CCPA, SOM, etc.).

  • Arrange and implement the payment of scholarships.

  • Organize student information sessions to promote internships, and other special event programming.

  • Develop and coordinate the application and selection /placement process.

  • Manage the budget and donor funds supporting the program, facilitate donor letters and reporting.

  • Create promotional materials.

Center for Israel Studies Responsibilities:

  • Assist the Director in the general administration of The Center for Israel Studies' events and finances.

  • Manage the Center's financial accounts, make purchases, track revenues/expenses, assist in developing the budget, and prepare financial reporting.

  • Process reimbursements, travel reimbursements, and HR forms.

  • Assist in event planning and coordinating travel and payments for visiting scholars.

  • Maintain records and coordinate the upkeep of the Center's website.

  • Coordinate publicity.

Job Requirements:

  • Bachelor's Degree

  • Minimum of 2 years of administrative experience

  • Experience with computer software, i.e. Microsoft Office, Google products, email, online calendar management, database management, Adobe, etc.

  • Effective organization skills and attention to detail

  • Experience with independent problem-solving

Preferred:

  • Professional experience in higher education

  • Experience with budgeting systems
