Full job description

Description

We are looking for an experienced accounts payable specialist to oversee daily AP operations for our California office. This position is suited for someone who is comfortable managing high-volume processing, strengthening procedures, and working independently in a construction-focused environment. The role will play a key part in keeping vendor payments accurate, supporting close activities, and improving the efficiency and control of the payables function.

Responsibilities: • Lead the end-to-end accounts payable process, from receiving invoices through final payment and account reconciliation. • Review and process a large volume of vendor and subcontractor invoices with close attention to accuracy, timing, and documentation. • Assign proper job-cost coding to invoices and related expenses to support construction accounting requirements. • Organize payment cycles through ACH and check disbursements while following established approval procedures and internal controls. • Track aging reports, investigate open items, and follow up with vendors or internal stakeholders to resolve outstanding balances promptly. • Reconcile AP-related accounts and contribute to month-end close by preparing support and resolving variances. • Maintain vendor files, collect tax documentation, and assist with annual 1099 reporting activities. • Support subcontractor payment compliance by monitoring lien releases, retention details, and required backup documentation. • Reconcile corporate card transactions, including card activity, and administer employee expense submissions through Emburse. • Collaborate with cross-functional teams on workflow improvements, invoice processes, and multi-entity AP support as needed.

Requirements • Demonstrated experience managing full-cycle accounts payable in a high-volume environment.

  • Background in construction accounting, including familiarity with job-cost coding and subcontractor-related payments.

  • Ability to handle payment processing across multiple methods, including ACH and check runs.

  • Experience performing reconciliations, maintaining AP aging, and supporting month-end close tasks.

  • Knowledge of vendor setup procedures, W-9 collection, and 1099 preparation requirements.

  • Proficiency with accounting systems; experience with Vista by Viewpoint is strongly preferred.

  • Familiarity with corporate card reconciliation and employee expense platforms such as American Express and Emburse.

  • Strong organizational skills, accuracy, and the ability to work independently while improving processes and controls.
